Summary
The Administrative Assistant I position provides clerical and administrative support to managers or departments within Shared Services or a Region. The role involves supporting a manager in documentation, scheduling, timekeeping, payroll, and HR functions, and maintaining office supplies.
Travel: Up to 25%
Roles and Responsibilities- Perform general clerical duties including filing, mailing, faxing, photocopying, and typing; maintain hard and electronic files.
- Types correspondence and pulls reports, bid bonds, preconstruction documents, etc.; codes and tracks invoices.
- Assist with timekeeping, payroll, and/or HR functions.
- Schedule appointments and update calendars; coordinate travel arrangements and set up meetings and conferences.
- Answer phone(s) promptly and in a professional manner.
- Order and maintain office supplies for assigned area of responsibility.
- Assist with activities related to co‑worker recognition/appreciation such as ordering event tickets or flowers, sending cards, etc.
- High School diploma or equivalent, or 2 years of related experience.
- Proficient with Microsoft Office programs such as Word, Excel, Outlook, and PowerPoint.
- Ability to write reports, business correspondence, and procedures.
- Ability to listen, read, and comprehend instructions; understand correspondence and memos.
- Strong writing and verbal skills.
- Effective communication in one‑on‑one and small group situations with co‑workers and clients.
- Ability to calculate basic mathematical figures and apply concepts such as fractions and percentages.
- Strong customer service skills.
- Willingness to work with others as part of a team.
- Good listening skills.
- Strong organizational skills to prioritize work.
- Ability to maintain confidentiality.
- Ability to solve practical problems using existing processes and procedures.
- Ability to interpret a variety of instructions in written, oral, diagrammatic, or schedule form.
- Ability to define problems, collect information, establish facts, and draw valid conclusions.
