High School Financial Secretary

The High School Financial Secretary is responsible for managing the day-to-day financial operations of the high school, including student activity accounts, fee collection, deposits, purchasing, accounts payable, financial recordkeeping, reconciliations, and reporting. This position manages a high volume of financial activity across numerous school, student, athletic, club, and activity accounts and serves as a key financial resource for administrators, staff, coaches, advisors, students, and the District Business Office.

The successful candidate must demonstrate a high level of accuracy, organization, confidentiality, accountability, and attention to detail and be able to independently manage multiple accounts, deadlines, and financial transactions in accordance with district procedures and applicable accounting requirements.

Qualifications:

  • High School diploma-preference may be given to applicants with experience and/or college education.
  • Knowledge of business English, spelling, and punctuation.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Experience with bookkeeping/budget procedures is needed.
  • Ability to carry out instructions.
  • Ability to demonstrate a high degree of competence in typing and experience with digital platforms. Must be technologically proficient and able to learn and effectively use district software systems and office technology.
  • Basic knowledge of Microsoft Excel, including data entry, spreadsheets, and simple formulas, is required.
  • Ability to relate to patrons and students tactfully and to work harmoniously with other district employees. Maintain strict confidentiality of staff and student personal information. Possess good organizational abilities and skills.

Performance Responsibilities:

  • Receives and accounts for all cash flow (such as student fees, sports fees, fines, etc.) through the school, including bank deposits and account reconciliation. Maintains records for state sales tax.
  • Maintains business books in a manner approved by the school district's auditing firm and prepares books for annual audit.
  • Writes checks for bills authorized by the building administrator.
  • Maintains and processes records for purchase orders for all district purchases through the high school.
  • Maintains inventory and receipts of goods.
  • Coordinates and cooperates with the high school principal and school district clerk regarding high school fiscal operations.
  • Posts and files all transactions to the accounting program. Generates monthly reports and balances checking account.
  • Maintains accurate enrollment records for various reports in a timely manner.
  • Handles student information and records in a responsible and confidential manner.
  • Assists administrator in other such duties as time allows or as assigned.
