Job Profile Summary
The Accounts Payable Manager is responsible for overseeing all accounts payable operations across domestic and international entities, ensuring timely and accurate processing of vendor invoices, compliance with internal controls, and adherence to company policies. This role leads the AP team, including AP Supervisors, and drives process standardization, automation, and operational efficiency while maintaining strong internal and external relationships.
Major Duties and Responsibilities- Direct and manage all accounts payable functions, including invoice processing, vendor maintenance, disbursements, and payment execution across multiple entities.
- Oversee AP Supervisors and staff, providing leadership, coaching, performance management, and workload prioritization.
- Ensure timely and accurate processing of high‑volume invoices in accordance with company policies, approval workflows, and payment terms.
- Establish and enforce internal controls, ensuring compliance with accounting policies, audit requirements, and regulatory standards.
- Serve as escalation point for complex vendor issues, payment disputes, and cross‑functional inquiries.
- Lead month‑end and year‑end AP close processes, including accruals, 1099 reporting, reconciliations, and reporting support.
- Partner with Accounting, Treasury, Procurement, and Operations to support cash‑flow planning and vendor relationships.
- Oversee international AP operations and ensure alignment with local compliance requirements.
- Drive continuous improvement initiatives, including automation and workflow standardization.
- Support system implementations and integrations (ERP, T&E platforms).
- Develop and monitor KPIs to evaluate team performance and process effectiveness.
- Comply with the requirements of the company’s Quality Management System.
- Bachelor’s degree in Accounting, Finance, or related field.
- 7+ years of accounts payable experience in a high‑volume, multi‑entity environment.
- Minimum 3–5 years of management experience, including leadership of supervisors.
- Strong knowledge of GAAP and internal controls.
- Experience with ERP systems and AP automation tools.
- Strong analytical, organizational, and problem‑solving skills.
- Excellent communication and leadership skills.
- Bilingual Spanish preferred.
- Proficiency in English, including the ability to speak, read, write, and comprehend English.
- Accounting degree.
- Experience in a 3PL business AP model.
- Remain in a stationary/seated position for an extended period.
- Regularly operate a computer, telephone, keyboard, and other office machinery.
- Close vision required due to computer work.
- Ability to hear, understand, and distinguish speech and other sounds.
