CMC is now hiring a Clinic Receptionist
The Clinic Receptionist to serve as the first point of contact for patients, visitors, and healthcare partners. This position plays a vital role in creating a welcoming, professional, and organized clinic environment while supporting the daily operations of the practice. Key responsibilities include patient registration, appointment scheduling, medical records management, insurance verification, payment processing, and communication with patients, providers, and staff.
The ideal candidate is detail-oriented, customer-focused, and able to effectively multitask in a fast-paced healthcare environment while maintaining the highest standards of confidentiality and professionalism.
1. Front Desk Operations
- Greet patients and visitors in a warm, courteous, and professional manner.
- Check patients in and out, ensuring all required forms, consents, and documentation are completed accurately.
- Answer and manage multi-line phone systems, respond to inquiries, and route calls to appropriate personnel.
- Process incoming and outgoing faxes, scan documents, and upload patient information into the Electronic Medical Record (EMR) system.
- Request, track, and obtain medical records from outside healthcare facilities.
- Provide accurate information regarding clinic policies, services, and provider availability.
- Schedule, confirm, reschedule, and cancel patient appointments using clinic scheduling software.
- Send appointment reminders through phone, email, text, or other approved communication methods.
- Coordinate appointments based on provider availability, patient needs, and clinic resources.
- Proactively promote and schedule preventive exams, wellness visits, and recommended services as covered by the patient's insurance plan.
- Manage schedule changes and communicate updates to patients and providers in a timely manner.
- Collect, verify, and update patient demographic and insurance information.
- Ensure patient intake forms and required documentation are completed accurately.
- Maintain accurate and confidential electronic medical records.
- Assist with new patient onboarding and orientation to clinic procedures and services.
- File, scan, and organize patient records and documentation in accordance with clinic policies.
- Collect co-payments, outstanding balances, and other patient payments at the time of service.
- Process and accurately post payments into the practice management system.
- Provide receipts and payment documentation as needed.
- Verify insurance eligibility, coverage, and benefits.
- Assist patients with basic billing inquiries and coordinate with the billing department when necessary.
- Notify appropriate personnel regarding financial assistance, charity care opportunities, or patient account concerns.
- Maintain a clean, organized, and welcoming reception and waiting area.
- Monitor front office and clinic supply inventory and submit supply requests as needed.
- Support efficient patient flow by maintaining an organized work environment.
- Serve as a liaison between patients, providers, and clinical staff.
- Relay messages accurately and promptly between patients and healthcare teams.
- Coordinate with providers, nurses, and support staff to ensure efficient clinic operations.
- Provide patients with clear, accurate information regarding appointments, services, referrals, and follow-up care.
- Maintain strict compliance with HIPAA regulations and patient privacy standards.
- Safeguard confidential patient information in all forms, including verbal, written, and electronic communication.
