Job Overview

At One Digital, the IT Portfolio Analyst plays a vital role in supporting the delivery and governance of IT projects and initiatives by coordinating portfolio activities across the IT organization.

This position provides administrative and analytical support to the IT Strategy & Governance team, ensuring consistent execution of intake, prioritization, and reporting processes. The Portfolio Analyst helps maintain visibility into the project portfolio, including project status, resource capacity planning, and alignment to strategic objectives through the maintenance of related dashboards and reporting.

The role works closely with the IT PMO, Infrastructure, Business Solutions, Finance, and Vendor Management teams to support operational excellence.

Principal Accountabilities
  • Support the day‑to‑day operations of the IT project portfolio, including data entry, status updates, and coordination/reporting across multiple teams.
  • Maintain and update portfolio tracking tools such as Smartsheet, ensuring accurate and current records, timelines, and status across all projects.
  • Assist in coordinating project intake and prioritization processes, including scheduling reviews, preparing documentation, and facilitating scoring activities.
  • Track project milestones and key deliverables to support status reporting and risk management across the portfolio.
  • Prepare and distribute recurring dashboards and reports to IT leadership and stakeholders, ensuring visibility into portfolio health and progress.
  • Coordinate IT governance meetings and portfolio reviews by managing agendas, preparing materials, capturing decisions, and tracking follow‑up actions.
  • Collaborate with Finance to support project capitalization activities, including time tracking validation, Cap Ex/OpEx categorization, and budgeting alignment.
  • Partner with Project Managers to validate and standardize project data, documentation, and status updates.
  • Assist in maintaining and improving PMO templates and portfolio documentation standards to support consistency and efficiency.
  • Support tracking of KPIs related to project performance, resource utilization, and delivery timelines.
  • Work with the Vendor Management team to monitor and track vendor contracts, renewals, SOWs, and onboarding related to portfolio activities.
  • Help coordinate communications related to portfolio processes, governance updates, and tool changes to drive awareness and adoption.
  • Assist in identifying and escalating portfolio‑level risks, interdependencies, and conflicts for resolution.
  • Provide general administrative support for the IT Strategy & Governance team as needed.
  • Strategically use AI to work intelligently and improve productivity and efficiency while completing tasks.
Preferred Qualifications and Experience
  • Bachelor’s degree in Business, Information Technology, or a related field preferred.
  • 2–4 years of experience supporting IT project, program, or portfolio management functions.
  • Familiarity with project and portfolio management tools such as Smartsheet, Azure Dev Ops (ADO), or similar platforms.
  • Understanding of project management methodologies including Agile and Waterfall.
  • Working knowledge of the Information Technology Infrastructure Library (ITIL) framework is a plus.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Outlook.
  • Strong organizational skills with keen attention to detail and the ability to manage multiple priorities.
  • Ability to quickly learn new tools and systems and adapt to changing environments.
  • Effective written and verbal communication skills with the ability to engage across technical and non‑technical teams.
  • Comfortable working both independently and collaboratively with cross‑functional stakeholders.
  • Experience supporting vendor or contract tracking processes is a plus.
  • A proactive and enthusiastic approach to problem‑solving and continuous improvement.
