Overview
- Process vendor invoices and ensure timely, accurate entry into the ERP system
- Review, verify, and reconcile invoice discrepancies and resolve payment issues
- Maintain vendor accounts, including new vendor setup, W‑9 collection, and updates
- Monitor invoice approval workflows and ensure payables remain current
- Review and post system‑generated invoice entries for accuracy
- Process inventory and non‑inventory invoices submitted by internal business units
- Identify costs that require capitalization and ensure proper coding
- Respond to vendor inquiries and maintain strong working relationships
- Assist with month‑end and year‑end close processes
- Prepare journal entries and perform general ledger reconciliations as needed
- Support bank reconciliations and fixed asset accounting, including depreciation updates
- Review financial statement variances and provide follow‑up analysis
- Assist with accounting tasks for related corporate entities
- Support audits with required documentation and schedules
- Maintain updated vendor tax documentation, exemption certificates, and support 1099 preparation
- Identify sales and use tax on invoices and support tax filing processes
- Ensure compliance with internal controls, accounting policies, and GAAP standards
- Contribute to process improvements and internal control enhancements
- Support special accounting projects assigned by management
- Maintain confidentiality, accuracy, and professionalism at all times
- Bachelor’s degree in Accounting or equivalent experience (4+ years AP/accounting preferred)
- Strong organizational skills, attention to detail, and ability to meet ongoing deadlines
- Proficient in Microsoft Excel and Microsoft Office
- Experience working in an ERP environment (D365 experience is a plus)
- Ability to work independently and collaboratively with cross‑functional teams
- Strong communication, problem‑solving, and decision‑making abilities
