Executive Administrative Assistant

Dometic is a global leader in mobile living products. The Dometic Land Vehicles Americas unit supplies high‑end recreational, commercial passenger, and overlanding vehicles throughout North America, Latin America, and the Caribbean. We are growing and looking for an experienced Executive Administrative Assistant to support the Vice President, Human Resources and the executive leadership team at our Rosemont, IL office.

About The Position

This role provides high‑level administrative and operational support to the President and executive leadership team. Responsibilities include complex calendar management, executive communications, strategic initiative support, and day‑to‑day operational coordination.

Main Responsibilities
  • Manage calendars, schedule meetings, and coordinate travel for the President and executive team.
  • Prepare agendas, presentations, and briefing materials for internal and external meetings.
  • Handle confidential correspondence, documents, and sensitive communications with discretion.
  • Support cross‑functional initiatives, including project tracking, reporting, and follow‑ups.
  • Assist with event planning, leadership offsites, and executive town halls.
  • Maintain executive files, records, and expense reports with accuracy and timeliness.
  • Coordinate logistics for meetings, location visits, and global visitor engagements.
  • Draft and edit executive‑level communications, memos, and announcements.
  • Ensure timely responses to inquiries and requests, prioritizing urgent matters appropriately.
  • Support internal communications and culture‑building efforts across leadership channels.
  • Uphold company policies and procedures, ensuring compliance in scheduling, travel, and documentation.
  • Partner with HR, Legal, and Finance on executive onboarding, contracts, and approvals.
  • Maintain confidentiality and professionalism in all interactions.

Qualifications
  • Bachelor’s degree in business administration or a related field is preferred; extensive experience may be considered in lieu of a degree.
  • Significant experience supporting senior executives in a corporate setting, preferably in a global organization.
Skills & Competencies
  • Advanced proficiency in Microsoft Office Suite (including Excel), Teams, and calendar management tools.
  • Exceptional written and verbal communication skills.
  • Strong judgment, discretion, and discernment to manage and maintain confidentiality with sensitive information.
