Office Support Assistant - University of Illinois Extension — University of Illinois Extension Unit 24, McLeansboro. WE TRANSFORM LIVES. Illinois Extension has operated for more than 100 years connecting citizens to the land-grant university and is based in the College of ACES, working with all colleges and units of the University of Illinois at Urbana-Champaign.
The Office Support Assistant works under the direct supervision of the County Director to support the needs of the Extension office.
Duties & Responsibilities- General Office Duties — Serve as primary staff to open and close the unit offices; act as first point of contact by answering telephone calls and assisting walk-in clients; assist in gathering, opening, and distributing mail; assist County Director, Unit Educators, and program support staff with clerical needs for programming (e.g., preparing materials, making copies, and room reservations); maintain all county mailing and email lists;
assist volunteer groups with clerical needs as directed; maintain 4-H youth files and data entry for 4-H county enrollment and fair program for Hamilton County; take minutes for Unit 24 staff meetings and submit after County Director review; document accessibility. - Fiscal — Report and transfer all fiscal expenditure/receipt documents as directed; replenish funds in postage meter and manage postal systems; solicit and handle donations (update database, prepare deposits, generate receipts); work with office staff on office supplies, educational supplies, and equipment ordering; perform additional fiscal duties as requested by the County Director and Unit Office Support Specialist; ensure accurate and timely submission of required reporting and prepare bank deposits for In/Out Account;
prepare expense reports and invoices in Emburse; prepare 4-H premium checks. - Misc — Other duties as assigned; comply with Affirmative Action/Equal Opportunity policies/guidelines in all aspects of Extension work.
Position requires work both in an office and in communities served; ability to travel between locations; valid driver’s license preferred. Some work may occur during evenings and/or weekends. May encounter varied environmental conditions; ability to move, transfer, and/or transport items up to 40 pounds (frequently up to 20 pounds); twisting, pushing, and pulling movements. Minimum QualificationsHigh school diploma or equivalent. Any one or combination totaling six (6) months from: college coursework in any curriculum (15 semester hours equals six months) or work experience performing office/clerical activities, including use of computer systems.
Preferred QualificationsClerical and office environment experience.
Knowledge,Skills and Abilities
- Ability to communicate clearly with a wide variety of people in a pleasant, composed, cordial manner.
- Ability to work independently while contributing as part of a professional office team.
- Computer proficiency, including Microsoft Office Suite.
This is a 100% full-time Civil Service 0845 - Office Support Assistant position, appointed on a 12-month basis. Expected start date as soon as possible. Salary: $39,159.90. See SUCSS for classifications: class specifications.
