General Summary: Provide administrative support for the Assistant State's Attorney's assigned to the Child Protection Unit

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:
  • Keep weekly stats of cases, tally at the end of each month and prepare a monthly report.
  • File Petitions for Adjudication, Termination for Parental Rights, Petitions to Revoke, and various Motions and send out notices with proof of service when necessary
  • Check mail and disperse appropriately
  • Coordinate service of case participants including personal service, publication and any necessary writs for court appearances.
  • Manage discovery requests including issuing subpoenas, following up on requests, and tendering documents with a proof of service.
  • Prepare documents as directed for proceedings such as Shelter Care, Adjudication, Disposition, and Termination Proceedings
  • E-file service return documents
  • Monitor SAOAN general email
  • Organize/move closed cases
  • Organize pulp pick up/office supplies order
  • Create discovery exhibit links
  • Liaison with DCFS
  • Run Leads and Criminal Histories on case participants
  • Run court call for the week.
  • Keep track of all files in the Family Data Base
  • Answer telephones, take messages, forward electronic mail to Assistant State's Attorneys and general receptionist duties
  • Assist in supervising and training interns by assigning tasks, checking work, and ensuring the completion of projects.
  • Cross train with administrative assistant in the Juvenile Division
  • Fill in for the administrative assistant in the Juvenile Division when that employee is out of the office
  • All other duties as assigned.

    SKILLS AND ABILITIES

    REQUIRED:
  • Minimum of two years legal secretary experience
  • Working knowledge of legal terminologies
  • Familiarity with Word, Excel and Axon preferred
  • Time management skills, organized and capable of prioritizing
  • Strong communication skills
  • Ability to work independently and problem solve
  • Ensures confidentiality and privacy at all times
  • Treat others with courtesy and respect in all interactions
  • Is open to new ideas and changes; encourages others to do the same
  • Willingly flexes to meet changing workload demands and priorities
  • Works cooperatively with other employees to complete the work.
