JOB TITLE:

ADMINISTRATIVE ASSISTANT-GRANTSDEPARTMENT: GRANTS MANAGEMENT HOURS & SHIFT REQUIREMENTS:
Full-Time-SalariedGENERAL SUMMARY Under the general supervision of the Director of Grants Management and the Sr. Executive Director of Communications, the Grants Admin Assistant will be a highly organized, detail-oriented individual that supports the Grants Department's operations. This position plays a key role in ensuring efficient coordination, documentation, and communication for grant-funded programs across East Central Illinois.

PRINCIPLE DUTIES AND RESPONSIBILITIES
1. Provide administrative support for grant development and post-award activities.
2.3. Maintain organized grant files and documentation systems.
4.5. Assist with the preparation and submission of reports.
6.7. Coordinate meetings, schedules, and communications.
8.9. Track deadlines and support compliance requirements.
10. Support data entry and reporting functions.
11. Attend any and all events of the East Central Illinois Rural Consortium they are assigned to, i.e.;
Opioid Coalitions, Juvenile Justice, HRSA, SAMHSA, IDPH and other Community organization meetings.
12. Keep the Grants Director appraised of events that are ongoing.
13. Keep the Grants Director advised of any issues in the Community as it relates to the hospital and/or hospital owned clinics.

PHYSICAL REQUIREMENTS The following statements describe the physical abilities required to perform the essential job functions, although exceptions may be made to these requirements based on the principle of reasonable accommodation for disabled applicants/employees.
1. Work requires the ability to lift and carry boxes.
2. Physical lifting requirements:

Floor to waist - 20 pounds
14” to waist - 30 pounds

Waist to shoulder - 10 pounds

Shoulder to overhead - 10 pounds

Carry 20 pounds for 30 feet

Push 10 pounds/force for 15 feet

Pull 10 pounds/force for 15 feet
3. Work requires ability to sit at a computer for long periods of time. (2-3 hours).4. Work requires communication abilities necessary to gather and exchange information with customers on a daily basis.
5. Excellent telephone and public relations skill required, often in pressure situations.
6. Visual acuity to proof-read and check typed and handwritten documents for accuracy daily.
7. Ability to use a computer both to enter and retrieve data.
8. Ability to function professionally in stressful and space-limited conditions.

REPORTING RELATIONSHIP
1. Reports directly to the Director of Grants Management and up through the Sr. Executive Director of Communications.
2. Has no direct responsibility for leading and supervising others within Administration.

EDUCATION, KNOWLEDGE AND ABILITIES REQUIRED
1. Ability to work independently and as part of a team.
2. Good communication skills, detail-oriented ability to work with others, and comfortable in public engagements.
3. Provide administrative support for grant development and post-award activities.
4. Maintain organized grant files and documentation systems.

Preferred Qualifications
1. Experience in healthcare or grant environments
2. Familiarity with grant documentation and compliance
3. Experience supporting project-based teamsINFECTION EXPOSURE RISK LEVELCategory 3 - No Risk - Your job does not involve exposure to blood, body fluids or tissue. You do not perform or help in emergency medical care or first aid as part of your job.

WORKING CONDITIONS The majority of the time will be working out of an office environment, in an office, potentially with other people. Personal space may be limited. Time constraints are a source of pressure due to deadlines for media outlets. The department is otherwise free from physical injury when proper safety guidelines are maintained. The highest levels of confidentiality are critical in this position.
