Office Administrator/ Coordinator

The Village of Tolono is seeking a professional, detail-oriented, and highly organized Administrative Assistant to support the daily operations of the Village Office.
This is a professional administrative position that requires strong communication skills, sound judgment, attention to detail, and the ability to work independently with minimal supervision. The position involves working with residents, elected officials, department heads, contractors, and other governmental entities.
This role supports a wide range of functions including office operations, public communication, meeting coordination, records management, permit processing, financial transactions, and executive administrative support. The position also plays a key role in maintaining organized workflows and supporting continuity of operations within the Village Office.
Key Responsibilities- Serve as a primary point of contact for residents, visitors, vendors, and partner agencies
- Coordinate meetings, schedules, and follow-up items
- Draft and manage professional written communication
- Assist with Board meeting preparation, agendas, packets, and postings
- Process permits and maintain accurate records
- Handle accounts receivable and deposits in accordance with established procedures
- Support payroll-related administrative processes
- Maintain confidentiality and professional standards in all interactions
- High school diploma or GED required
- At least three (3) years of progressively responsible experience in administrative support, office operations, or customer service in a professional environment, including but not limited to insurance, healthcare, higher education administration, financial support services, legal support, government operations, or a related field
- Strong organizational, communication, and computer skills
- Ability to work independently and manage multiple priorities
- Valid Illinois driver’s license
- Associate’s or bachelor’s degree
- Experience in municipal government or regulated environments
- Experience with payroll, financial recordkeeping, or administrative systems
- Knowledge of FOIA, Open Meetings Act, or public records processes
