Job SummaryDirect and supervise administrative and department services on the Provider Support Team in the Department of OBGYN. Lead staff and delegate duties including meeting planning, accounting support, payroll, training, small projects, and various back‑office functions. Implement procedures and policies while ensuring the efficiency of team operations. Organize and schedule meetings and appointments.
Responsibilities- Field and answer team member questions about scheduling, message management, Epic, and Qgenda.
- Lead basic projects related to patient scheduling and templates under manager’s direction.
- Facilitate refresher trainings and team huddles with the OBGYN Provider Support Team.
- Assist with new hire onboarding and training.
- Build and maintain tip sheets and workflows for the OBGYN Provider Support Team.
- Manage team time‑off requests and UKG timecard work; plan team coverage for time off.
- Process P‑Card approvals that come through Concur for purchases made by administrative team members.
- Supports a transparent and supportive work environment.
- Reliable, displays a positive attitude, does not engage in gossip, and is flexible.
- Communicates problems, issues, and frustrations to supervisor and leadership.
Minimum Qualifications:
Requires a bachelor’s (or equivalency) degree plus 2 years of directly related work experience, or a master’s (or equivalency) degree.
Equivalency Statement:
One year of higher education can be substituted for one year of directly related work experience (e.g., a bachelor’s degree equals 4 years of directly related work experience).
- Strong attention to detail with a focus on standardization and consistency.
- Demonstrated ability to stay organized and focused in a fast‑paced environment.
- Comfortable collaborating across divisions and teams.
- Prior experience leading projects, initiatives, etc.
- Strong interpersonal skills with the ability to communicate clearly and professionally.
