Job Summary:The Administrative/Receptionist is responsible for providing professional front-office and administrative support to ensure the smooth and efficient operation of the office. This position serves as a primary point of contact for incoming calls, visitors, employees, packages, and deliveries while assisting with day-to-day administrative needs. The Administrative/Receptionist also provides support to the Human Resources Department with new hire orientations, weekly tailgate meetings, employee assistance, and various HR-related tasks and projects as needed.
This role requires strong organization, communication, professionalism, and the ability to effectively manage multiple responsibilities while providing dependable support to employees and management.
- Answer and direct incoming phone calls and assist employees with general questions and requests.
- Greet visitors and provide professional front-office support.
- Receive, organize, and distribute incoming packages, mail, and deliveries.
- Maintain inventory of office supplies and communicate when supplies need to be reordered.
- Assist with new hire orientations, including preparing materials and helping ensure new employees receive necessary information and resources.
- Assist with weekly tailgate safety meetings by preparing materials, coordinating attendance, and providing administrative support.
- Assist with company deliveries and other general office-related tasks as needed.
- Provide administrative support to the Human Resources Department, including assisting with various HR projects, paperwork, employee needs, and other duties as assigned.
- Support daily office operations and perform additional administrative duties as necessary to ensure the office and HR department operate efficiently.
- Conduct periodic emergency evacuation drills and ensure training is completed for emergency evacuation plans.
- Maintain records of all work-related injuries/illnesses and ensure reports are completed and submitted timely.
- Monitoring, maintaining inventory and ordering PPE.
- Other duties as assigned by management.
- Excellent verbal and written communication skills
- Analytical focus with high attention to detail.
- Self-starter with strong organizational skills, ability to multi-task and work independently.
- Strong working knowledge of Excel, pivot tables, and report generation
- Genuine love of plants and respect for all people.
- Flexible, open mind & willingness to learn is a dynamic fast paced work environment.
- 1-2 years of Admin experience (Required)
