Purchasing Specialist

Support purchasing operations and stockroom activities to ensure timely fulfillment of supplies and materials. Process purchase orders, goods receipts, and inventory transactions accurately. Coordinate with suppliers and internal teams to resolve procurement, delivery, and invoice issues. Track outstanding orders and ensure timely closure of purchasing activities. Maintain accurate purchasing records and documentation. Support inventory management, receiving operations, and supplier return processes.

Investigate procurement-related issues and drive resolution. Contribute to operational efficiency and continuous process improvement initiatives.

Support stockroom operations and fulfillment of consumables, supplies, PPE, and non-capital materials. Process goods receipts and maintain accurate procurement records. Track and manage open purchase orders and supplier deliveries. Coordinate with suppliers to resolve damaged shipments, incorrect deliveries, returns, and order discrepancies. Investigate and resolve invoice discrepancies and payment-related issues. Support inventory reviews, stock audits, and replenishment activities. Process supplier returns and maintain supporting documentation.

Collaborate with purchasing, receiving, finance, and operational teams. Troubleshoot procurement and inventory system issues. Maintain accurate transaction records and reporting data. Build strong relationships with suppliers and internal stakeholders. Provide customer support for procurement-related requests and inquiries. Identify opportunities for process improvements and operational efficiencies.

High School Diploma with 4+ years of relevant experience OR Associate Degree with 3+ years of relevant experience OR Bachelor's Degree with 2+ years of relevant experience. Experience supporting purchasing, procurement, inventory, receiving, stockroom, or supply chain operations. Understanding of purchasing processes, order management, and payment workflows. Strong customer service and stakeholder support skills. Excellent verbal and written communication abilities. Strong analytical, organizational, and problem-solving skills.

High attention to detail and accuracy. Ability to learn new systems and technologies quickly. Ability to manage multiple priorities in a fast-paced environment. Ability to work independently with minimal supervision.

Experience with procurement systems and purchasing platforms. Experience supporting inventory, warehouse, stockroom, or supply chain operations. Experience with invoice reconciliation and payment issue resolution. Experience working with suppliers and vendor relationships. Experience supporting purchasing functions in a regulated or large-scale environment. Experience driving process improvement initiatives. Experience managing order fulfillment and receiving activities.
