Location:

Creve Coeur, St. Louis County (On-site, full-time)

Experience with in wealth management is mandatory

We are partnering with one of the fastest-growing wealth management firms in the country. The firm has grown from $1B AUM to a projected $5B AUM by the end of 2026, and is seeking an experienced Administrative Assistant from the wealth management / investment management industry to support its CEO.

This is an in-office role supporting a driven, growth-oriented executive.

Key Focus Areas
  • CEO Inbox Management:
    Proactively manage and triage the CEO’s email; identify and elevate high-priority items, delegate appropriate matters to internal stakeholders, and ensure timely follow-through.
  • Calendar Management
  • Travel Scheduling and Management
  • Presentation Support:
    Assist in building, editing, and refining presentations for client meetings, internal meetings, board/leadership updates, and industry events.
Responsibilities
  • Provide administrative support to the CEO in a fast-paced, growth environment
  • Own and maintain the CEO’s calendar: schedule and prioritize meetings, conferences, travel, and key deadlines
  • Coordinate complex travel itineraries and logistics
  • Reconcile and process executive expense reports accurately and on time
  • Plan, coordinate, and attend select client, prospect, and employee events
  • Draft, edit, and manage internal and external communications on behalf of the CEO
  • Liaise with leadership team and department heads to ensure follow-up on CEO directives and firm priorities
  • Handle confidential information with utmost discretion
  • Perform additional executive support and project-related duties as needed
Qualifications
  • Minimum 5+ years of high-level administrative or Personal Assistant experience
  • Required industry background:
    Investment Management / Wealth Management / Financial Advisory
  • Strong proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) and Adobe
  • Working knowledge of CRM systems (e.g., Salesforce, Tamarac, Redtail, or similar) and ability to leverage them for efficiency and reporting
  • Exceptionally organized, detail-oriented, and proactive with strong follow-through
  • Demonstrated experience managing multiple priorities, stakeholders, and shifting deadlines
  • Strong written and verbal communication skills; professional, polished presence with clients and executives
  • High level of integrity and discretion in handling confidential information
  • Comfortable working fully on-site in the Creve Coeur area of St. Louis County
