GENERAL PURPOSEThe Leave of Absence Coordinator will serve as the main point-of-contact for Leave of Absence requests and will be responsible for establishing FMLA, other unpaid, military and/or City specific leave requests. This position will also be responsible for managing the ADA accommodation process.
SUPERVISION RECEIVED & EXERCISEDThis position will work under the general guidance of the HR Director.
This position has no supervisory functions.
ESSENTIAL FUNCTIONSThe Leave of Absence Coordinator may perform some or all of the following essential functions, including additional duties as assigned.
- Administer end-to-end leave cases including: FMLA, ADA, other unpaid leaves, and applicable state-protected leaves
- Conduct intake, determine eligibility, prepare documentation, track leave timelines, and manage return-to-work coordination
- Partner with departments to identify and implement reasonable accommodations for return to work
- Maintain accurate, confidential records of Leave and ADA requests and communications
- Serve as a primary point of contact for employees and managers throughout the leave process, providing clear, empathetic, and supportive guidance
- Assist with rewriting and updating leave communications as Capri enhances its internal leave processes
- Educate employees and managers on requirements, timelines, benefits implications, and responsibilities related to leaves of absence
- Provide consistent, timely updates to employees, managers and HR partners to support seamless leave and return-to-work experiences.
- Collaborate with HR partners, Payroll, and Benefits team members to ensure smooth operations across the leave lifecycle.
- Support Payroll with accurate information for benefit deductions, pay continuation, and time tracking during leaves
- Ensure compliance with federal regulations (FMLA, ADA), state protected leave laws, and City policy
- Maintain accurate, audit-ready files and secure documentation, upholding strict confidentiality at all times
- Identify trends or potential compliance concerns and escalation them to the HR Director as appropriate
REQUIRED:
Education and Experience:
Associate’s degree in business administration, public administration, or similar field
AND
Two (2) years of administrative experience, preferably in Human Resources or Benefits
OR
Equivalent combination education and experience that meets the minimum qualifications
Licenses andCertifications:
- Valid driver's license
- Must complete NIMS training within 6 months of hire
- Human Resources certification or Certified Leave Management Specialist certification preferred
- FMLA, ADA, and related laws
- General knowledge of state and federal labor laws
- Computer operations and systems
- Microsoft Office Suite, including MS Excel
- Written and verbal communication
- Organization, prioritizing and multitasking
- Basic mathematical equations
- Defining and articulating problems, collecting data, establishing facts, and drawing valid conclusions
- Ability to prioritize effectively, think independently and problem solve to ensure all projects are completed in an effective and timely manner
- Able to research, analyze, solve, and follow through on complex cases. Able to successfully meet deadlines and achieve goals.
- Work in a collaborative team environment
- Work with a wide variety of personalities and deal with each person in an effective and professional manner
- Able and willing to travel to all City locations as needed
- Write reports, business correspondence, training outlines, needs assessments, and operational procedures
- Effectively present information and respond to questions from individual and groups of managers, employees, and the general public.
- Deal with several abstract and concrete variables
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand, walk, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
