About the Role

Our client, a large national employer, is hiring a Senior Leave Case Manager to join its leave of absence team. You’ll own an assigned caseload from intake through return to work — determining eligibility, guiding employees through the process, collecting documentation, coordinating approvals, and resolving the issues that don’t fit neatly into a workflow. The population is primarily U.S.

-based, with occasional Canadian cases.

This is a specialist seat, not a generalist one. The team of five carries roughly 1,500 active cases at any given time, and after a structured six-week onboarding you’ll carry a caseload comparable to theirs. If your leave experience has been one part of a broader HR generalist role, this probably isn’t the right fit — the team is looking for someone who has already owned a leave caseload end to end and knows FMLA, ADA, and state leave law in depth.

The work is employee-facing at hard moments — new parents, military deployments, serious illness, caregiving. It calls for someone who can hold policy and compliance lines with real empathy, and who knows when an email will do and when a situation needs a phone call. The team is collaborative and supportive; complex cases get worked together, not alone.

What You’ll Do
  • Manage an assigned caseload of leave of absence cases through the full lifecycle, working cases through established workflows in a leave management system integrated with People Soft
  • Determine eligibility across parental, military, caregiver, disability, and medical leaves
  • Communicate with employees throughout the leave process, by email and by phone
  • Track, collect, and review required documentation
  • Coordinate leave approvals, monitor leave status, and manage return-to-work timelines
  • Partner with third-party leave and disability administrators to resolve cases
  • Resolve complex issues — an employee on leave who misses a paycheck, determining whether a problem originated internally or with a vendor, escalations from employees or HR partners, and state-specific leave requirements
  • Maintain a small set of recurring, well-documented reports — daily leave and disability-eligibility reporting, biweekly disability reporting from the carrier, and monthly records and documentation updates (about an hour a week in total)
What You Need
  • 5+ years of leave of absence administration
  • Direct leave case management experience — you have owned cases through the full lifecycle, from eligibility determination to return to work
  • Experience working in a leave management system
  • Experience managing complex leave and disability cases
  • In-depth knowledge of FMLA, ADA/ADAAA, state-specific leave laws, and disability leave programs
  • Experience communicating directly with employees about sensitive leave matters
  • Ability to prioritize in a high-volume environment and adjust as business needs change
  • Excellent written and verbal communication skills
  • Strong relationship-building skills with internal stakeholders and business partners
  • Strong understanding of core HR practices
  • Strong Microsoft Excel skills — filtering, sorting, analyzing, and organizing large data sets
  • Able to work 8:00 AM – 5:00 PM Central time, Monday–Friday
Preferred
  • Experience at a third-party leave and disability administrator such as Met Life or The Hartford, or on a corporate leave of absence team
  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent HR experience Onboarding

    You won’t be handed a caseload on day one. Onboarding covers the team’s culture and expectations, the leave processes and workflows, shadowing and rotation across the existing case managers, and a dedicated resource for questions, with work transitioned to you over about six weeks.
