FRONT OFFICE AND ADMIN EXECUTIVE

JOB ROLE:
The main role of the Front Office and Admin Executive is to create a positive and professional impression of the organization, since he/ she is the first person one interacts with either on the phone or in person. The other role is being responsible for the reception desk, carrying out general administration duties and any other required assistance with the day to day running of the office.

REPORTING TO:
Assistant Manager

RESPONSIBLITIES:
▪ Maintain a clean, fully stocked and well-organized work area.
▪ Employee will be in charge of maintaining the reception area. They will keep all giveaways, business cards, pens, applications, etc. stocked and make sure that any magazines are stacked in a neat manner. Handle Stationery.
▪ Employee will greet all clients in a professional manner and alert the person they have come to see on their arrival.
▪ Offer clients Tea/coffee and co-ordinate with office boy to arrange for the same.
▪ Handle guests’ questions and concerns professionally and courteously by providing accurate, appropriate and immediate responses.
▪ Will maintain an incoming and outgoing register.
▪ Skill to delegate & execute office pick up /drop, client pickup / drop facility. Make hotel reservations, if needed. Assist to make flight bookings
▪ Interacting with the admin support staff, drivers, security etc.
▪ Supervising the courier management.
▪ Organizing cultural events and activities whenever needed
▪ Manage Office & Pantry inventories, purchase of groceries, Kitchen. housekeeping material, beverages & maintain its stock record.
▪ Manage other Admin jobs like arrange breakfast / lunch / dinner for office employees, clients.
▪ Maintaining data of vendors and information related to them.
▪ Taking care of AMCs.
▪ Effective cost control.
▪ Guest House Management.
▪ Food Menu planning for office employees.
AGE: 20 and above
EDUCATIONAL
QUALIFICATIONS:
ESSENTIAL:
Graduate in any discipline
PROFESSIONAL EXPERIENCE
REQUIRED:
ESSENTIAL: 1 or 2 years as a front office coordinator or Administration experience.
DESIRABLE:
DESIRABLE SKILL SETS:
▪ Must be detail-oriented and have ability to multi-task and work under pressure.
▪ Ability to be efficient and productive in a fast-paced environment.
▪ Candidate should be young, energetic, enthusiastic , keen to learn & adapt our working culture.
▪ Punctual. Should report to office on Time & should be able to do time management.
▪ Must possess basic math and money handling skills.
▪ Enjoy working with people and possess a friendly and outgoing personality.
▪ Excellent communication, listening and computer skills.
▪ Must be a team player.
