Administrative Assistant

St. Bernard of Clairvaux Parish and St. Thomas More University Parish, Indiana

The Parishes of St. Bernard of Clairvaux and St. Thomas More see an Administrative Assistant who will provide essential support in maintaining the efficiency of the combined Parish Office, through various administrative tasks and responsibilities, supporting work and ministry of the clergy, Financial Secretary, Clearance Coordinator, parishioners, and community to ensure the smooth operation of the Indiana Catholic Community.

POSITION DETAILS:

  • This is a full-time position, requiring 40 hours per week.
  • Must have a valid PA Driver’s License
  • Must complete and comply with all required Diocesan clearances and training.
  • This position is eligible for benefits – health care insurance, holidays, and 401K.

Duties include but are not limited to:

Scheduling and Calendar Management; receiving incoming calls, office visitors, emails, messages, and voicemail; directing information to the appropriate party, or provide the necessary assistance; create weekly email communications that inform the registered parishioners of upcoming events, services, and activities; maintaining and monitoring TV displays for power and/or computer resets; using Diocesan Website Management through Word Press; update basic Parish website information, including but not limited to: staff, office hours, contact info, Mass times, etc.;

post non-digital community, regional, and Diocesan events and information as necessary; maintain accurate, updated, and neat bulletin board spaces, maintain; update parish bulletin for weekly printing and weekend distribution; document preparation; ministry and community support and assistance;
Mass Intentions;
Funeral Planning;
Worship Aids and other duties as assigned.

Experience

Required:

  • At least 2 years administrative experience

Other requirements:

  • Detail oriented with a high degree of accuracy; self-motivated and self-directed when necessary.
  • Proficiency in MS Office tools, particularly Word and Excel
  • Proficient or teachable online design software
  • Ability to train and learn simple block website editing – Word Press;
    Flocknote communication platform, and Opti Signs communication display software.
  • Proficient or teachable in general office equipment – computers: software, internet, email, Xerox machines, phones, etc.
  • Excellent communication skills
  • Must possess the ability to exercise a high degree of independent judgment.
  • Friendly and patient. The ability to maintain a positive attitude and reflect a healthy positivity and understanding toward those seeking business with the parish office
  • Ability to multi-task
