Position Title: Administrative Assistant Location: Willow Creek Middle School Schedule: 38 weeks per year, 8 hours per day, 5 days per week Reports To: Principal and Assistant Principal
Position SummaryThe Main Office Secretary - Administrative Assistant serves as the primary front desk representative of Willow Creek Middle School and is often the first point of contact for students, families, staff, and visitors. This position supports the daily operations of the school by providing high-level clerical, organizational, and customer service support. The role requires professionalism, discretion, efficiency, and strong interpersonal skills in a fast-paced school environment.
PrimaryResponsibilities Front Office & Reception
- Serve as the primary front desk contact for the school, greeting and assisting visitors, students, and staff in a professional and welcoming manner
- Answer and route incoming phone calls; respond to inquiries and provide accurate information
- Monitor visitor sign-in/sign-out procedures and maintain building security protocols
- Manage front office traffic and ensure a positive, service-oriented environment
- Provide administrative and clerical support to school administrators and office staff
- Prepare correspondence, reports, forms, and school communications
- Maintain calendars, schedules, and appointment coordination for administrators as assigned
- Assist with preparation and distribution of school mailings and materials
- Assist students who come to the main office for support and route them appropriately
- Support student attendance processes, including documentation and data entry
- Communicate with families regarding attendance, appointments, and general questions
- Process student check-in/check-out and dismissal documentation
- Maintain accurate student and school records in accordance with district procedures
- Enter and update data in student information and office management systems
- File and organize digital and paper records
- Maintain confidentiality of student, staff, and family information
- Support school events and activities with clerical and organizational tasks
- Collaborate with student services and other office personnel to ensure smooth daily operations
Skills & Qualifications
- High school diploma or equivalent required
- Prior clerical, administrative, or front office experience preferred, especially in a school setting
- Strong customer service and interpersonal skills
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and priorities simultaneously
- Proficiency with office technology and software (Google Workspace or Microsoft Office, student information systems, email, and phone systems)
- Ability to maintain confidentiality and professionalism at all times.
Hourly Pay Range: $15.46-$23.98
