Position Summary
The Purchasing Coordinator is a process-driven and customer-focused role within the Supply Chain Department, responsible for the procurement of inventory. This position partners closely with Customer Support, Sales, Forecasting/Planning, Sourcing, Quality, Logistics, and Program Directors throughout the day. The Purchasing Coordinator procures materials by creating purchase orders, bills of materials, and production orders, and works closely with assigned suppliers to obtain product information and manage production and delivery schedules.
Success in this fast-paced role requires excellent organization, professionalism, strong communication skills, and self-motivation, particularly in a remote environment.
- Build and maintain strong relationships with domestic and international suppliers by establishing consistent check-ins to monitor performance, production schedules, and delivery commitments, and to proactively resolve purchase order, cost, quality, and delivery issues
- Procure materials by placing purchase orders and production orders in alignment with ERP system requirements, Planning, and Sales
- Create, maintain, and manage Bills of Materials and relevant item and order data within the ERP system
- Monitor raw material inventory levels, supplier production schedules, and delivery dates to ensure on-time fulfillment and identify potential risks
- Communicate delays or issues to internal stakeholders in a timely and organized manner, including proposed corrective actions
- Complete cost and lead-time estimates to support quoting for Sales and Customers
- Partner with Sourcing and Program Directors to transition new product developments into full production and fulfillment
- Maintain accurate operational and inventory spreadsheets to support planning, reporting, and day-to-day execution
- Communicate effectively and professionally with internal teams and suppliers via email, Microsoft Teams, and phone
- Work independently in a remote environment, maintaining accountability, productivity, and proactive communication
- Bachelor’s degree with a minimum of four (4) years of purchasing experience preferred
- Process-driven, self-motivated, and detail-oriented, with the ability to prioritize, remain responsive, and work assertively in a fast-paced environment
- Adaptable and flexible, with the ability to thrive in a growing, changing environment
- Basic knowledge of distributor and manufacturing mill operations preferred
- Solid experience navigating an ERP system, ideally Microsoft Dynamics 365
- Proficiency in Microsoft Office applications, with an emphasis on Outlook, Excel, Teams, and Share Point
- Strong technical skills preferred, including Excel spreadsheet functions such as VLOOKUP, pivot tables, complex formulas, and data validation
- Excellent written and verbal business communication skills
- Demonstrated intellectual curiosity and a willingness to support team and company objectives as needed
