Job DescriptionOverall Purpose and Objective of Position
This position is responsible for providing support to logistics operations by assisting sales teams and back-office functions to coordinate orders, deliveries and documents. This role involves supporting both internal and external customers to provide accurate and on-time deliveries.
Primary Responsibilities/Essential Functions- Assist in coordinating inbound and outbound shipments
- Prepare, process and file food grade shipping documents physically and digitally.
- Maintain schedules for multiple ingredients with accuracy.
- Process schedule revisions and generate delivery appointments in a timely manner.
- Process freight bills through freight matching process.
- Assist with setting up new customers and carriers.
- Utilize multiple systems to maintain carrier and freight information to assist with coordinating logistics for multiple products.
- Prepare, review and process ticket entry and applications for multiple products, including processing invoices.
- Send past due statements and make collection calls regarding past due invoices.
- Serve as the initial AR contact person for external customers regarding Business to Business AR collections, problems and questions.
- Maintain demurrage records and invoices
- Assist with weekly and monthly contract reports.
- Maintain COI and kosher documents.
- Daily involvement with inputting and maintaining records in multiple systems.
- Maintain daily communication, support logistical services, and assist with accounting issues with suppliers and customers.
- Work with sales, lab, and logistics teams to provide the best customer service possible.
- Learn about markets and develop competence in LDC products varying qualities.
- Helps manage receivables and facilitates innovative methods to keep accounts receivable and average number of days to pay at a minimum
- Attend weekly meetings to become familiar with products and logistics.
- Identifies, qualifies and captures new business; develops and contributes to customer/supplier list.
- Potentially participate in crop tours to assess conditions and potential yields to anticipate markets.
- Other duties as assigned.
- Perform quality work within deadlines with or without direct supervision.
- Interact professionally with co-workers, Company business associates and the general public.
- Work together in a cooperative spirit to serve the best interests of the Company.
- Operate in a fully responsible manner and comply with all laws and Company policies.
- Typical office equipment: PC, telephone.
- Primarily climate-controlled office environment. Periodic visits to industrial operations areas are necessary with exposure during such visits to variety of temperatures and prevailing weather conditions. Interacts closely with personnel in other departments and company locations, interact closely with middle and senior level management, domestic travel to visit customers required (up to 30% at times). Call-ins or the extension of regular working hours (50-60 hours per week) are occasionally needed to complete time-sensitive projects or respond to emergencies.
Supervision Decision Making/Accountability
- Processes a variety of information and data to help devise and execute trading strategies. Negotiates with trade counterparts to maximize corporate returns. Advises and recommends trading strategies, assesses risk pertaining to buying and selling and negotiates contract terms with clients.
- Associate degree in Supply Chain, Agricultural Economics, Finance or Business Administration.
- Or, 2 years of experience in the agricultural or logistics industry.
