ProgramManager (PM) – OPTIMA Programs Org
The PM works on defined projects with limited guidance, applying project‑management best practices to make processes more efficient and facilitate delivery. Responsibilities include assigning individual responsibilities, developing milestones and launch schedules, understanding customers and stakeholders, negotiating process improvements, managing communications, running effective meetings, and transforming ideas into clear documentation and requirements such as project charters, responsibility matrices, UAT summaries, and implementation approaches.
Key Job Responsibilities- Manage the HiTL (Human in the Loop) annotation tooling roadmap and periodically collect requirements from internal customers through workshops, stakeholder discussions, and voice‑of‑customer sessions.
- Work closely with Operations and Software Development teams to improve tools, processes, and reporting dashboards.
- Drive roadmap prioritization across stakeholder groups, Ops sites, and tech teams.
- Ensure flawless launch and adoption of new features for the Operations team and other internal customers through planned change‑management activities.
- Adhere to new feature launch mechanisms and highlight exceptions in a timely manner.
- Keep the cross‑functional team updated on projects and progress through weekly/monthly flashes and proactive communication management tools.
- Plan periodic compliance activities with the Privacy team to keep OPTIMA platforms compliant with privacy policies.
- Maintain a work breakdown structure (WBS) for each project, track action items, and proactively mitigate technical and non‑technical risks.
- Document project files such as business requirements, UAT summaries, agreements, and MoMs, using them to resolve disputes.
- Triage UAT issues, adoption issues, and tooling blockers with Ops PoCs.
- Daily Stand‑Ups:
Facilitate quick team meetings to discuss progress, plans, and blockers. - Requirements Alignment:
Collaborate with business analysts to ensure project requirements meet stakeholder expectations. - UAT Planning:
Lead discussions on User Acceptance Testing strategies, timelines, and success criteria. - Stakeholder Engagement:
Present project status updates and facilitate GO/NO GO decisions. - Risk Management:
Identify and assess risks, developing mitigation strategies with the project team. - Team Coordination:
Work closely with development and testing teams to prioritize tasks and address challenges. - Documentation:
Maintain current project documentation and prepare status reports for stakeholders.
- 3+ years of program or project management experience.
- 3+ years of experience working cross‑functionally with tech and non‑tech teams.
- 3+ years of defining and implementing process improvement initiatives using data and metrics.
- Experience defining program requirements and using data to determine improvements.
- Advanced Excel (Pivot Tables, VLookUps) and SQL skills.
- PMP certificate.
- 3+ years of driving process improvements.
- Experience in stakeholder management, dealing with multiple stakeholders at varied levels of the organization.
- Experience building processes, project management, and schedules.
