under the fair labor and standards act this position is non-exempt from overtime. Actual salary placement will be in accordance with the salary procedures of the frederick county public school system. Please see linked salary scale for the full range.
rolethe accounts payable associate reports to the accounts payable officer and is responsible for providing financial and administrative services. This position is primarily responsible for the processing and monitoring of payments and expenditures in an effective and efficient manner to ensure that the financial records are accurate, while making sure that vendors and suppliers are paid within the established time frames.
essentialfunctions
reporting directly to the accounts payable officer, the accounts payable associate performs the following duties:
- receives, verifies and codes invoices and requisitions for goods and services.
- verifies that transactions comply with established financial policies and procedures.
- prepare batches of invoices for data entry.
- completes data entry of invoices for payment into the financial management systems.
- manages weekly check runs (including ach and sua types) and prepares off cycle checks as needed.
- reconciles vendor statements, researching and correcting discrepancies.
- monitors the flow of documents to ensure all proper procedures are accomplished in a timely manner.
- maintains liaison with both fcps people soft end users and vendors in matters relating to accounts payable.
- prepares accounting reports from various databases and other sources for internal or external use.
- initiates, processes, and reviews a variety of accounting transactions in the following areas, but not limited to vendor payments, 1099 processing, customer invoicing, etc.
- assists with year‑end closing processes.
- maintains historical records by scanning and filing documents to ensure accounting correspondence, records, forms, and other accounting-related information are maintained in accordance with established policies and procedures.
- interprets established laws, rules, regulations and fiscal policies and procedures as they apply to functions within the accounts payable sections or other phases of highly specialized accounting work needed by the fiscal services division.
- assist in audits as needed.
- trains school-based staff at in‑service and one‑on‑one training as needed.
- serves as backup for other accounting functions as needed.
overtime hours may be required.
performs other duties as assigned by the accounts payable officer.
required qualifications- high school diploma or equivalent (g.e.d.)
- five (5) years of accounting, administrative or accounts payable experience.
- irregular hours depending on services needs and other designated times.
- ability to speak in an understandable voice with sufficient volume to be heard in normal conversation and on the telephone and in addressing groups.
- ability to maintain emotional control under stress.
- ability to spend long hours sitting.
- ability to reach with hands and arms.
- sufficient manual dexterity to grasp, handle, manipulate, and feel objects and use office technology.
- sufficient mobility to move about the work area.
- sufficient vision to read and comprehend printed materials, see distant objects with clarity, and identify and distinguish objects.
- sufficient hearing to hear and comprehend conversations in person and on the telephone as well as distinguish sounds up to twenty (20) feet.
- occasionally climb or balance.
- occasionally stoop, kneel, crouch, or crawl.
- occasionally lift fifteen (15) pounds.
- moderate noise (examples: cubicle office environment with computers, printers, and telephones; regular conversations within offices, cubicles, hallways, conference rooms; meetings one‑on‑one, in small groups, and large settings, etc.).
- experience in people soft accounts payable applications.
- previous work experience in a public education or government setting.
- previous experience in microsoft office suite and google suite applications.
