Position Summary:
The Business Office Manager is responsible for supporting the day-to-day financial operations of the facility in accordance with generally accepted accounting principles and reimbursement guidelines specific to long-term care. This role ensures accurate billing, collections, and financial reporting, while also assisting in administrative duties to support efficient facility operations.
Essential Duties and Responsibilities:
Support the daily functions of the facility's accounting and billing processes.
Route invoices to appropriate departments for approval and payment processing.
Communicate with vendors to resolve discrepancies or questions on invoices.
Maintain organized files of all charge slips, debits, and credits related to residents.
Monitor and manage accounts receivable; report delinquent accounts to the Administrator, Accountant, or Director of Finance.
Prepare and mail monthly resident statements.
Submit written and verbal reports on financial activity to leadership as requested.
Assist in bank reconciliations and data entry functions.
Generate and interpret financial reports from accounting software systems.
Ensure completion and proper filing of resident admission agreements.
Manage resident trust funds and provide quarterly fund statements to residents.
Assist with implementation of system changes or process improvements in the accounting department.
Perform administrative and secretarial duties as needed.
Attend all mandatory in-service trainings (e.g., HIPAA, OSHA, Abuse Prevention, TB).
Qualifications:
High school diploma or equivalent required; post-secondary education in accounting or business preferred.
Minimum of three (3) years of experience in bookkeeping or accounting.
Experience with Medicare and Medicaid billing and reimbursement procedures required.
Proficiency with accounting software and Microsoft Office Suite.
Strong organizational, communication, and time management skills.
Physical Requirements:
Must be able to move intermittently throughout the workday.
Must be able to read, speak, and write English fluently.
Ability to lift and move up to 25 pounds to a height of 5 feet and carry it up to 50 feet.
Must be able to assist in emergency evacuations if necessary.
