Skilled Nursing Facility in Winfield -

Position Summary:

The Business Office Manager is responsible for supporting the day-to-day financial operations of the facility in accordance with generally accepted accounting principles and reimbursement guidelines specific to long-term care. This role ensures accurate billing, collections, and financial reporting, while also assisting in administrative duties to support efficient facility operations.

Essential Duties and Responsibilities:

  • Support the daily functions of the facility's accounting and billing processes.

  • Route invoices to appropriate departments for approval and payment processing.

  • Communicate with vendors to resolve discrepancies or questions on invoices.

  • Maintain organized files of all charge slips, debits, and credits related to residents.

  • Monitor and manage accounts receivable; report delinquent accounts to the Administrator, Accountant, or Director of Finance.

  • Prepare and mail monthly resident statements.

  • Submit written and verbal reports on financial activity to leadership as requested.

  • Assist in bank reconciliations and data entry functions.

  • Generate and interpret financial reports from accounting software systems.

  • Ensure completion and proper filing of resident admission agreements.

  • Manage resident trust funds and provide quarterly fund statements to residents.

  • Assist with implementation of system changes or process improvements in the accounting department.

  • Perform administrative and secretarial duties as needed.

  • Attend all mandatory in-service trainings (e.g., HIPAA, OSHA, Abuse Prevention, TB).

Qualifications:

  • High school diploma or equivalent required; post-secondary education in accounting or business preferred.

  • Minimum of three (3) years of experience in bookkeeping or accounting.

  • Experience with Medicare and Medicaid billing and reimbursement procedures required.

  • Proficiency with accounting software and Microsoft Office Suite.

  • Strong organizational, communication, and time management skills.

Physical Requirements:

  • Must be able to move intermittently throughout the workday.

  • Must be able to read, speak, and write English fluently.

  • Ability to lift and move up to 25 pounds to a height of 5 feet and carry it up to 50 feet.

  • Must be able to assist in emergency evacuations if necessary.
