Position: Events Coordinator (Part-Time)
Location: Indianapolis

Job Title: Events Coordinator

Reports to: Congregational Administrator

Hours & Compensation: 7 hours per week (flexible, spread through the week, non-exempt) with opportunities for additional hours for special services and events, and serving as onsite coordinator for external rentals. $21.83 per hour, plus 10% commission for external rentals. Paid time off during the week between Christmas and New Year's. No additional benefits.

Job Summary

The Events Coordinator is responsible for promoting and coordinating external rental events at UUI, managing the church calendar, and providing scheduling support for internal church activities.

Key Responsibilities
  • External Rental Management
    • Schedule reservations, produce and maintain contracts, and process payments for building use
    • Conduct facility tours and meet with potential renters
    • Serve as onsite coordinator for rental events (weddings, special events, etc.) as needed
    • Promote and generate building use by proactively advertising event spaces through multiple channels (social media, website, direct outreach)
    • Produce promotional materials and signage for rental events
  • Internal Church Calendar Management
    • Maintain and manage the UUI calendar for all church activities and events
    • Schedule Zoom meetings for UUI members and groups upon request
    • Coordinate with staff and ministry teams regarding internal event scheduling
    • Ensure calendar accuracy and resolve scheduling conflicts
  • Customer Service & Communication
    • Answer phone and email inquiries regarding building use and activities at UUI
    • Provide excellent customer service to members and general public
    • Inform building users of policies, rates, and any changes
  • Facility Oversight
    • Oversee supply, issuance, and return of building keys
    • Inspect facilities regularly and report maintenance needs or emergencies to Congregational Administrator
    • Contribute input on facility aesthetics and improvements
  • Administrative Support
    • Prepare invoices and payment materials for Congregational Administrator (rental payments, refunds, etc.)
    • Create reports and analytics on building usage as requested
    • Submit accurate time cards and reports as requested
  • Staff Collaboration
    • Inform and update staff regarding building use as appropriate
    • Participate in staff meetings and meet with supervisor as requested
    • Maintain confidentiality of church and member communications
    • Comply with all church policies and procedures
    Qualifications
    • Above average computer skills and proficiency with social media platforms required
    • Strong communication skills, initiative, and entrepreneurial spirit
    • Experience in sales, marketing, and/or facilities management preferred
    • Strong attention to detail and organizational skills
    • Familiarity with church communications and Zoom platform a plus
    Working Conditions
    • In-person position with flexible scheduling
    • Ability to navigate church facilities and climb stairs
    • Physical ability to lift and receive packages up to 20 lbs Ability to use phone, computer, and routine office equipment
    • Availability for onsite coordination of rental events (including occasional evenings and weekends)
