OverviewThe Athenaeum Foundation seeks a highly organized and proactive Executive Assistant to provide comprehensive administrative and strategic support to the President & CEO. This position plays a critical role in ensuring the efficient operation of the executive office while supporting the Foundation’s mission to preserve, program, and activate one of Indianapolis’s most historic cultural institutions. The ideal candidate is a trusted partner who exercises sound judgment, manages complex priorities, and communicates effectively with a wide range of internal and external stakeholders.
Responsibilities- Provide high-level administrative support to the President & CEO, including calendar management, meeting coordination, travel arrangements, and correspondence
- Serve as a primary point of contact between the President & CEO and donors, partners, tenants, and community stakeholders
- Prepare and edit correspondence, reports, presentations, and briefing materials
- Support Board of Directors and committee activities, including meeting scheduling, agenda preparation, minutes, and follow-up
- Track action items and deadlines to ensure timely completion of executive and organizational priorities
- Assist with confidential matters related to governance, contracts, personnel, and strategic initiatives
- Coordinate logistics for special events, donor meetings, and public engagements involving the President & CEO
- Maintain organized electronic and physical filing systems
- Provide general administrative support to advance Foundation operations as needed
- Provide support for fundraising events in-advance and day-of-event, including German Fest and the Athenaeum Christkindlmarkt
- Bachelor’s degree or equivalent professional experience
- Minimum of 3–5 years of experience providing executive-level administrative support, preferably in a nonprofit, cultural, or mission-driven organization but not required
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines
- Strong written and verbal communication skills
- High level of discretion and professionalism in handling confidential information
- Proficiency with Microsoft Office, Google Workspace, and/or similar productivity tools
- Ability to work independently, anticipate needs, and adapt in a dynamic environment
- Experience working with Boards of Directors or senior leadership teams
- Familiarity with nonprofit governance and fundraising environments
- Interest in arts, culture, historic preservation, or community engagement
- Calm, solutions-oriented demeanor with strong attention to detail
This position is based at the historic Athenaeum in downtown Indianapolis. The Foundation offers a collaborative, mission-driven workplace and a competitive compensation package commensurate with experience.
Salary Range$45,000 - $50,000
