Position SummaryProvide high‑level administrative support to one or more business partners within Product Research & Development. The role partners with colleagues across multiple business units, vendors, and external stakeholders, requiring strong organization, urgency, and sound judgment in a dynamic environment.
Responsibilities- Operate with the highest regard for Lilly values by working independently, communicating clearly, safeguarding confidential information, and showing flexibility in a fast‑moving environment.
- Meeting coordination: proactively manage complex calendars, schedule meetings, arrange logistics, travel, rooms, A/V, materials and catering.
- Travel and expenses: arrange complex domestic and international multi‑city travel, manage passports and visas, process multi‑currency expense reports and reconcile accounts accurately and on time.
- Additional support and expectations: serve as key point of contact for the area, communicate professionally with employees and external parties, coach non‑supported partners on self‑service tasks, attend business meetings to anticipate needs, create and maintain documents, distribution lists, spreadsheets, databases and SharePoint sites using Microsoft 365, pilot innovative techniques including AI and automation, serve as backup for other executive assistants, lead administrative assistants in the PRD area, and handle special projects as assigned.
- High School Diploma or GED and a minimum five years of experience in a professional or administrative role.
- Strong proficiency with Microsoft 365 and SharePoint.
- Track record of supporting senior leaders, leading projects, and tracking actions through completion.
- Demonstrated ability to maintain confidential information.
- Flexibility to be available outside of standard hours via phone, email or voicemail as needed.
- Bachelor's degree.
- Curiosity about and hands‑on experience with AI tools such as Microsoft Copilot, Claude or similar.
- Strong experience with Concur Travel and Expense Reporting.
- Excellent listening, interpersonal and organizational skills.
- Ability to embrace change and thrive in a fast‑paced, evolving environment.
- Self‑managed and able to prioritize competing demands, seeking guidance when needed.
- Excellent written and verbal English communication.
Position requires daily onsite presence at our LTC‑N campus in Indianapolis. Travel is 0‑10% of the time. Compensation ranges from 30.28 to 44.42 dollars per hour as a full‑time equivalent.
