Administrative Assistant

Position Summary

Paragon Force, Inc. is seeking a motivated and detail-oriented Administrative Assistant to provide administrative and data management support for environmental operations. This entry-level position works under close supervision and follows established procedures, detailed instructions, and standardized processes to ensure accurate data entry, records management, and administrative support.

The Administrative Assistant performs routine clerical and administrative tasks, including data entry, document processing, records maintenance, filing, and office support activities. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to accurately complete repetitive tasks while supporting mission-critical programs in a secure government environment.

Essential Duties and Responsibilities

  • Enter, update, and verify information within government databases, spreadsheets, and electronic record systems.
  • Process and maintain standardized forms, reports, logs, and source documents.
  • Operate computer systems and keyboard-controlled equipment to transcribe data into formats suitable for electronic processing.
  • Review documents for completeness and accuracy prior to data entry or filing.
  • Organize, maintain, scan, file, and retrieve electronic and hard-copy records.
  • Assist with document control, records retention, and administrative tracking activities.
  • Support the preparation, distribution, and maintenance of correspondence, reports, and other routine documentation.
  • Schedule meetings, maintain calendars, and coordinate administrative activities as assigned.
  • Answer phones, respond to routine inquiries, and direct requests to appropriate personnel.
  • Perform quality checks on entered data and report discrepancies to supervisory personnel.
  • Identify incomplete, missing, or questionable information and elevate issues for resolution.
  • Maintain confidentiality when handling sensitive government and company information.
  • Follow established office procedures, security requirements, and company policies.
  • Perform other administrative and clerical duties as assigned.

Qualifications

Required

  • High School Diploma or GED.
  • 0–3 years of experience in administrative support, office administration, data entry, records management, or a related field.
  • Ability to obtain and maintain a Secret Security Clearance.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Strong alphanumeric keyboarding and data entry skills.
  • Excellent organizational skills and attention to detail.
  • Ability to follow detailed instructions and established procedures.
  • Effective verbal and written communication skills.
  • Ability to manage multiple routine tasks in a structured office environment.

Preferred

  • Previous experience supporting government contracts or defense-related programs.
  • Experience with electronic document management systems, databases, or records management software.
  • Familiarity with office procedures, filing systems, and administrative best practices.
