Job Description

The Campus Ministry Administrative Assistant served as the operational lead of the Coleman-Morse first floor. This role demands strong organizational and interpersonal skills, a hospitable presence, and the ability to support two directors while managing a broad range of administrative responsibilities in a fast-paced, mission-driven setting. The ideal candidate brings both professional competence and a genuine commitment to the spiritual mission of the University.

Campus Ministry is one of six areas within the Division of Student Affairs whose primary purpose is to cultivate and care for the spiritual needs of all students who call Notre Dame home. Rooted in the Catholic, Holy Cross tradition, Campus Ministry fosters personal spiritual growth, encourages participation in the sacramental and liturgical life of the Church, supports various forms of worship and personal prayer, provides opportunities for pilgrimages, retreats and service, and seeks to enhance and develop lifelong faith formation.

Reporting

directly to the Director of Pastoral care, core responsibilities include
  • Front Desk Reception and Office Management: Provide front desk reception and hospitality for all Coleman-Morse first floor offices, welcoming a wide range of visitors and guests in person and by phone. Manage basic office operations, including work orders, reimbursements, and expense reports.
  • Administrative Support: Assist the Director of Pastoral Care and Director of Student Ministry. Coordinate meetings, weekly supervision sessions, and event logistics for the Directors of Student Ministry and Pastoral Care. Manage internal and external correspondence with professionalism and discretion. Support a variety of ongoing projects and special assignments as directed.
  • Mass Card Administration: Receive, process, and fulfill Mass card requests in a timely and accurate manner. Maintain organized records of all Mass card transactions.
  • Student Worker Supervision: Recruit, hire, train, and supervise all student office workers. Provide ongoing support, scheduling, and performance feedback to student staff.
  • Facilities and Common Area Oversight: Oversee common areas, the workroom, and the kitchen to ensure a clean, organized, and welcoming environment. Monitor and maintain inventory of necessary supplies and refreshments to support efficient office operations.
  • Event Support: Provide administrative support for large, one-time events such as OCIA receptions and other events as approved by the Directors.
  • Equipment Management: Manage all Campus Ministry equipment, including copiers, iPads, lounge technology, and the departmental van.
  • Member of the Division of Student Affairs: Regularly collaborates with other areas within the Division of Student Affairs (Career and Professional Development, Residential Life, Sister Thea Bowman Center, Student Development, and Student Health and Wellness), student clubs and organizations, and other University units to enhance the department’s work building connections and relationships with students.
Qualifications

Education

Qualifications:

Associates degree or up to 3 years of college or technical school preferred.

Experience
  • Minimum of 3–4 years of relevant professional experience required.
  • Proficiency with Microsoft Office, Google Workspace, and Adobe applications.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment while maintaining strong attention to detail.
  • Excellent interpersonal and communication skills with the ability to collaborate effectively with a broad range of colleagues and stakeholders.
  • Proven ability to think proactively, exercise sound judgment, and work both independently and collaboratively.
  • Familiarity with higher education or university environments is preferred.
