POSITION: Guidance Office Secretary

REPORTS TO: Building Administration

SALARY RANGE: $17.00 per hour

HOURS OF WORK: 8 hours per day/205 days per school year

Job purpose
Maintain employer compliance and employee communication regarding student records.

Duties and responsibilities
Enroll new students into student management software (Power School)
  • General Guidance Office paperwork (labeling, sorting for testing, etc )
  • File ILEARN/SAT paperwork
  • Assist with grade changes, storing grades, and printing report cards
  • Prepare the Honor Roll and awards list
  • Prepare Guidance Office parent mailing envelopes
  • Assist in organizing community involvement
  • 21st Century Scholarship paperwork distribution
  • Build/help build school schedule
  • Enter Dual Credits Earned at the end of the year
  • Scan student documents into Docuware at withdrawal
  • 30A Report
  • Parent/Teacher Conferences - set up and be at
  • Finalize transcripts for graduates at year-end and upload them to Docuware and Parchment, send to colleges as requested for enrollment
  • Help finalize the Graduation Tab in Power School at year-end for state reporting
  • Graduation verifications and Disability claims via fax, email, and parchment.
  • Graduation- help with seating assignments and other misc. tasks to be prepared for the ceremony (order diplomas)
  • All other duties assigned
  • Qualifications

    Qualifications include:

    Education
    • High School Diploma/GED, Business college training; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
    • Specialized knowledge
      • Power School knowledge is a plus
    Skills
    Language

    Skills:

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of school employees or parents.
    Mathematical Skill:
    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    Abilities
    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
    • Other Skills
      • Must be proficient in the use of computers for various office applications. Ability to type accurately at a minimum speed of 50 words per minute. Employees should also be able to use the machines, tools, equipment, and work aids which may be representative, but not all-inclusive, of those commonly associated with this type of work, i.e., copier, calculator, postage meter, laminator, binding machine, check folder, and other equipment as made available by the school corporation.
    • Professional Certification
      • Valid state driver's license - operator permit
    • Experience
      • 1- 3 years in a secretarial position preferred.
