Job Summary

The Trust Account Manager Assistant is a full‑time, in‑office position that reports to the Chief Trust Officer to provide administrative and operational support to the Trust Department. This position helps ensure the timely processing of disbursements, accurate maintenance of beneficiary records, and effective communication with beneficiaries, families, and service providers. By supporting the administration of special needs trusts, this position helps individuals with disabilities maintain access to important benefits and resources that enhance their quality of life.

Duties

and Responsibilities
  • Review incoming mail for bills, disbursement requests, and other account‑related correspondence.
  • Scan, copy, and distribute mail and documentation to Trust Account Managers.
  • Prepare disbursement requests for recurring, mid‑month, and one‑time payments.
  • Maintain and update beneficiary, donor, and contact information within the trust database.
  • Assist with all department mailings and other beneficiary communications.
  • Assist with the administrative process for closing trust accounts.
  • Prepare and send communications with various companies and government agencies.
  • Assist the department’s administrative assistant with returned mail, surveys, cleaning up the physical and e‑files, other projects as they arise.
  • Provide coverage for The Arc of Indiana’s receptionist as needed.
  • Perform other duties as assigned.
Job Requirements and Qualifications
  • High school diploma or equivalent.
  • Strong organizational and time‑management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook, as well as experience using mail merge or the ability to learn it.
  • Ability to manage confidential information with professionalism and discretion.
  • Ability to work collaboratively in a team‑oriented environment.
  • Willingness to learn, accept feedback, and grow within the position.
Preferred Experience and Knowledge
  • Experience in administrative support, financial services, trust administration, or a nonprofit organization.
  • Experience working with individuals with intellectual or developmental disabilities and their families.
  • Knowledge of disability services or public benefit programs, including Medicaid, Supplemental Security Income, and housing assistance programs.
Working and Physical Conditions
  • Essential job functions are generally performed in a professional office environment.
  • The noise level is typically moderate; occasional noise from nearby construction or other building activity may be present.
  • The position requires sitting and working at a desk for extended periods.
  • The position requires prolonged use of a computer, keyboard, and workstation.
  • The position occasionally requires lifting, carrying, pushing, or pulling objects and materials weighing approximately 5–10 pounds.
  • The position requires the ability to receive, interpret, and communicate information effectively through methods appropriate to the work.

Compensation and Benefits

Anticipated starting salary range: $40,000–$50,000 annually, based on qualifications and experience.
