Channel Services Support Coordinator II
Location: Indianapolis, IN (must reside within a 70‑mile radius). Hybrid schedule: 4 remote days and 1 in‑office day per week.
Job Overview: The Channel Services Support Coordinator II is the primary project coordination and scheduling resource for Channel Services field operations. This role manages FSE scheduling and dispatch, maintains master project schedules, monitors work order progress, and provides administrative and data support for Field Operations while professionally representing TRIMEDX.
Responsibilities- Project Management (70%)
- Serve as the primary scheduling coordinator for all channel services field service activities, managing FSE dispatch and assignment across single or multiple active projects.
- Build, maintain, and publish master service schedules, ensuring FSE availability aligns with customer commitments and project timelines.
- Coordinate scheduling of both planned and unplanned service requests, balancing urgency, geography, technician skill set, and project priorities.
- Communicate daily schedule updates to FSEs, Service Managers, and customer points of contact; proactively flag scheduling conflicts or coverage gaps.
- Monitor project milestone progress against contractual timelines; escalate delays or resource shortfalls to the Channel Services Supervisor or Manager.
- Participate in project kick‑off and status calls, capturing action items, scheduling commitments, and follow‑up deadlines.
- Maintain scheduling records and project documentation to support QVR reporting and customer‑facing project status updates.
- Provide in‑office support for shipment of and receipt of medical equipment, parts and materials; assist with parts ordering, tracking, and invoices.
- Administrative Support (15%)
- Provide clerical and administrative support for CS Leadership.
- Organize and develop information and materials for meetings, special projects, presentations, and reports.
- Coordinate meetings (including QVRs and team meetings), calendar management, prepare documents, take notes/minutes, send reminders/responses, and maintain files and records.
- Place orders for indirect items in the procurement system as outlined by TRIMEDX Supply Chain.
- Maintain documents such as QVR documents and minutes, organizational charts, and other needed records.
- Data Support (15%)
- Establish and maintain record‑keeping systems and processes.
- Compile data for routine and special reports using Microsoft Word, Excel, PowerPoint, and various database software.
- Compile daily, weekly, and monthly reports; maintain RSQ data, update PM technician assignments, warranty information, ROTA, and other items as directed.
- Respond to customer requests for invoices and Field Service Reports (FSRs), ensuring documentation is accurate, complete, and delivered in a timely manner.
- Minimum 3 years of office experience providing clerical and administrative support.
- Experience in data management preferred.
- Must be organized, task‑oriented, and able to complete assigned tasks on time.
- Must be able to multi‑task in support of Field Operations.
- Knowledge of Microsoft Office applications required.
- Strong interpersonal, telephone, written, and verbal communication skills.
- Ability to manage time and set priorities amidst multiple tasks and deadlines.
- Ability to lift, carry, push, or pull up to 25 lbs.
- High school diploma or equivalent required; associate’s degree preferred.
