Pro Sync is seeking a passionate Administrative Manager II to provide high‑level coordination and oversight of administrative and support services essential to effective lifecycle management and mission execution. This role ensures that organizational processes, resources, and support functions operate efficiently and consistently across multiple departments and program areas. By managing administrative operations such as records, logistics coordination, data processing, procurement support, and workplace services, the Administrative Manager contributes directly to streamlined processes, improved efficiency, and reduced total cost of ownership throughout the product lifecycle.

The position also supports quality assurance and continuous improvement by maintaining compliant procedures, monitoring performance, and adapting administrative practices to evolving mission requirements.

Responsibilities

The Administrative Manager II is responsible for planning, organizing, and directing a wide range of administrative and operational support services that enable efficient program execution. This includes managing functions such as office administration, records management, materials scheduling, supply distribution, payroll coordination, travel and conference planning, data processing, telecommunications support, and workplace services.

  • The manager ensures that administrative processes align with lifecycle support needs, regulatory requirements, and organizational objectives. They implement procedures to improve productivity, enhance customer service, and support mission readiness across diverse operational environments. Responsibilities include coordinating the physical workplace with personnel and program activities, overseeing the acquisition and distribution of supplies, managing property and equipment disposition, and ensuring that administrative services remain responsive to evolving program demands.
  • The Administrative Manager II collaborates with supervisors, program managers, and technical teams to support integrated product support services (CRSS), maintain accurate documentation, and ensure administrative compliance. They contribute to quality assurance by monitoring administrative performance, identifying issues early, and implementing corrective actions to support consistent, high‑quality service delivery.
Requirements
  • A Minimum of 3 years of professional experience in administrative management, business operations, or organizational support services.
  • Demonstrated ability to coordinate and manage administrative functions such as records management, supply distribution, payroll support, travel coordination, and data processing.
  • Experience implementing administrative procedures that improve efficiency, productivity, and customer service across multiple departments or programs.
  • Ability to manage procurement support activities, property management, and the acquisition, distribution, or disposal of materials and equipment.
  • Strong organizational and leadership skills, with the ability to plan, prioritize, and oversee a wide range of administrative tasks in support of lifecycle operations.
  • Familiarity with regulatory compliance, documentation standards, and quality assurance practices related to administrative and operational support.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with supervisors, program personnel, and external stakeholders.
