Assistant Administrative For Cultural Service

The community is looking for an ASSISTANT.E ADMINISTRATI.F.VE who contributes to the administration of the cultural service including the public market for cultural transports, the management of quotes-invoices of the service and activities related to the cultural commission (70 elected members). The agent will occupy a cross-functional position in assisting the Director of Cultural Affairs to the global administration of the cultural service actions and with cultural partners.

Main activities Secretariat of the cultural service:

- Daily information follow-up and processing (email, phone, mail) - Annual balance sheets
- Management of hours, leave, recovery hours, travel expenses of the service staff, mission orders (cultural affairs, media library, cinema) - Follow-up and public market management for cultural transports, management of registrations, purchase orders, wish cards, follow-up tables, relations with transporters and schools, annual balance
- Follow-up of various conventions (GEAC, BDL, FRAC, private collectors etc).

- Collection of information and documents for the creation of various dossiers, collaboration and administrative assistance for the service manager
- Management and updating of databases
- Logistics organization related to meetings and events of the service
- Participation in the logistics for communication, follow-up with the provider for the dissemination of communication supports
- Management and follow-up of various office work (letters, tables, meeting minutes, report, sorting, filing, archiving, digitization, dissemination, etc.) - Follow-up of tasks related to the activities of thematic commissions: sending of convocations and agendas, follow-up of registrations and attendance, writing and follow-up of minutes, technical and logistical support to activities related to the commission (follow-up of working groups) - Animation of actions related to the involvement of elected members of the commission: follow-up of tools (route sheets, identity questionnaires), accompaniment of elected members in the use of tools, analysis and processing of data
- Writing and follow-up of registration of deliberation projects for the community council Accounting:

- Processing of quotes, invoices, purchase orders for the cultural service and entry in the "Sedit" software of the finance service
- Participation and collaboration in the administrative and accounting follow-up of the service
- Updating the adjusted budget of the service Conditions of exercise and particularities of the position
- Cultural meetings and events outside working hours possible in the evening and on weekends according to need: thematic commission, one Wednesday evening per month.

Profile Sought

Required qualifications - PERMIS B
- Successful and sustained experience in public or private administration of 3 years minimum
- Diploma in administration Required qualities
- Knowledge of the territorial and administrative context of Cauvaldor
- Ability to anticipate, organize, plan and be rigorous
- Knowledge of the administration of territorial communities
- Knowledge of the associative and cultural world
- Good mastery of IT, Internet and office software
- Mastery of computer software (Office Pack) - Writing and relational skills
- Sensitivity to cultural actions
- Curiosity
- Responsiveness
