Labcorp is seeking an Administrative Coordinator, Medical & Scientific Affairs to join our Medical Affairs team in Indianapolis, IN.
Work Schedule: Monday-Friday, 9am-5pm EST
Responsibilities- Role Overview: The Administrative Coordinator provides comprehensive onsite support for the Medical & Scientific Affairs team and serves as a key point of coordination for medical directors, remote team members, and colleagues at other Labcorp locations. The role coordinates calendars, meetings, visitors, travel, expenses, purchasing, communications, records, document workflows, onboarding activities, and follow-up on departmental priorities.
- Calendar, Meetings, and Events: Manage leadership calendars and coordinate team activities across locations and time zones;
Schedule meetings, events, visitors, conference rooms, and virtual sessions;
Prepare agendas and materials, document action items, and track follow-up;
Communicate schedule changes promptly and accurately. - Travel and Expenses: Coordinate travel arrangements, itineraries, documentation, and changes;
Prepare, submit, and track expense reports;
Maintain supporting records and follow up on approvals or missing information. - Procurement, Supplies, and Vendor Coordination: Prepare and track purchase orders, invoices, and related documentation;
Coordinate with suppliers and internal Procurement and Finance teams;
Monitor office supplies, inventory needs, and open requests. - Office and Department Administration: Coordinate mail, shipments, copying, scanning, filing, supplies, and workspace needs;
Maintain department records, distribution lists, training files, and document workflows;
Support onboarding by coordinating work spaces, badges, accounts, equipment, access, forms, and training assignments;
Track administrative tasks through completion and escalate delays appropriately. - Technology and Meeting Support: Support audiovisual equipment, virtual meetings, and presentation readiness;
Use Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and related business tools effectively;
Escalate complex technical issues to IT or the appropriate system owner;
Learn and use new workflow and document-management platforms. - Cross-Functional Coordination: Initiate and track requests with internal support teams;
Coordinate effectively with onsite and remote colleagues across Labcorp locations;
Keep stakeholders informed of progress, delays, and next steps;
Build productive relationships with internal and external partners;
Apply sound judgment when resolving issues or escalating barriers.

- Experience providing administrative, departmental, executive, office, or coordination support.
- Proficiency in written and spoken English.
- Strong proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and virtual-meeting tools.
- Ability to learn and use other software platforms required for listed duties.
- Excellent organizational, written communication, and time-management skills.
- Ability to interact professionally with senior leaders, colleagues, visitors, vendors, and cross-functional teams.
- Strong attention to detail, discretion, and sound judgment.
- Ability to adapt to changing priorities.
- An associate’s degree or significant experience as an Administrative Coordinator.
- Experience supporting leaders in healthcare, biotechnology, pharmaceuticals, laboratories, clinical research, or another scientific or medical environment.
- Experience coordinating travel, expenses, procurement, purchase orders, invoices, or suppliers.
- Familiarity with laboratory operations, medical or scientific terminology, CLIA, CAP, or continuing education requirements.
- Familiarity with workflow, project-management, or document-control tools such as Workfront and Veeva.
- This is an onsite, primarily office-based position with routine activity across offices, meeting rooms, reception areas, and laboratory-adjacent or clinical spaces. The role consists mainly of desk and computer work, with regular…
