Role Overview
The Clinical Engineering Field Support Coordinator II provides clerical and administrative support for Clinical Engineering and serves as a liaison between managers and other leaders.
Key Responsibilities (Approximate Allocation)- Administrative Support (40%) – Provide clerical support for staff; organize and develop materials for meetings, special projects, presentations and reports; provide support to departmental infrastructure (HR, payroll, benefits, service operations, finance, IT); manage travel arrangements and expenses; place orders for indirect items in the procurement system; coordinate meetings, calendar management, document preparation, note-taking, send reminders, maintain files and records; maintain documents such as EOC reports, QVR documents, minutes and org charts;
schedule meetings as requested; provide regional support for company‑sponsored events. - Data Support (40%) – Establish and maintain record‑keeping systems and processes; compile data for routine and special reports using Word, Excel, PowerPoint and database software; compile daily, weekly and monthly reports; act as a data resource and assist other departments, managers and directors; maintain RSQ data, including approving/updating primary and secondary PM Tech, reassigning work orders, updating warranty information and ROTA.
- Project Management (20%) – Obtain information for various projects by contacting subject‑matter experts and resources; monitor compliance within divisional and company projects and tasks; coordinate and consolidate data collection and information requests from regions or systems; perform other duties as assigned.
- Minimum 3 years office experience providing clerical and administrative support (preferred). Experience in data management preferred.
- Organized and able to communicate effectively (written and oral).
- Task‑oriented, able to complete assigned tasks on time and multi‑task in support of Field Operations.
- Knowledge of Microsoft Office applications required.
- Ability to manage time, set priorities amid multiple tasks and deadlines.
- Ability to work effectively with other team members; strong interpersonal and telephone skills; strong written and verbal communication skills.
High school or equivalent degree required; associate’s degree preferred.
Location & EmploymentIndianapolis, Indiana – candidates must reside in the central Indiana region within a 70‑mile radius. Hybrid (remote and in‑office). Relocation not available. Immigration sponsorship not available.
