We are seeking a proactive and detail-oriented Business Development Coordinator to support our team. This role manages administrative tasks for marketing events from initial approval through final execution. You will also oversee the logistics of marketing and business development, tracking leads, submitting assets, and ensuring our team is fully prepared for all initiatives. This is a fast-paced, dynamic role where priorities shift quickly and no two weeks look alike, ideal for someone who can prioritize effectively and stay organized and calm under pressure.
Key Responsibilities Event Coordination & Logistics- Approval & Planning: Manage the event approval process, maintain event calendars, and set up planning timelines.
- Materials Management: Procure and organize necessary event supplies, including promotional items, tablecloths, banners, and presentation collateral, as well as coordinating booth needs such as electrical hookups.
- Attendee Registration: Oversee pre-event registration, track RSVPs, manage name badges, and prepare check-in materials.
- Sponsorship & Logos: Liaise with event coordinators and partners to collect, format, and submit logos and advertisements within strict deadlines.
- Lead Tracking: Monitor incoming inquiries and keep accurate records of business development pipelines and client interactions in the company CRM.
- Data Organization: Compile reports and track the status of proposals, contracts, and partnership opportunities.
- Procurement Websites: Register KERAMIDA on industry procurement portals and monitor and submit requirements as needed.
- Asset Tracking: Assist the marketing team by ensuring event and promotional assets (graphics, logos, messaging) are delivered on time.
- Collateral Maintenance: Help manage, organize, and inventory physical and digital marketing materials.
- Provide general clerical support, including answering emails, organizing files, and scheduling meetings.
- Process and track event-related invoices and receipts.
- Travel Coordination: Book and manage travel arrangements for the team, including flights, hotels, and car rentals, and prepare detailed itineraries.
- Associate’s or Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
- Proven experience in administrative support, event coordination, or marketing.
- Exceptional organizational skills with a keen eye for detail.
- Strong skills in Microsoft Office Suite, especially Excel.
- Strong communication and interpersonal skills, with the ability to coordinate effectively across teams and departments.
- Ability to thrive in a fast-paced, dynamic environment, managing multiple priorities and deadlines simultaneously.
- Resourceful and self-sufficient, able to research options independently and handle logistical details with minimal oversight.
