Agency Summary
Established by the Indiana Constitution, the Marion County Clerk is the custodian of all court records, issues marriage licenses, and serves as the court’s fiscal agent and trustee of child support payments. The Election Board receives nominations and petitions for elections, as well prepares ballots, and maintains voting machines by cultivating a productive, collaborative, and compliant work environment for our workforce to meet the needs of the residents of Indianapolis and Marion County.
Job SummaryThis position is responsible for assisting with the oversight and coordination of various functional units within the Marion County Clerk’s Office. Under the direction of leadership, the position supports daily operational activities; provides work direction, training, and guidance to employees; assists in monitoring departmental effectiveness and cash handling procedures; serves as a liaison with courts and partner agencies; responds to internal and external concerns involving Clerk’s Office operations;
and serves as a backup in the absence of the Director.
Position requires knowledge and application of established policies, procedures, and operational practices that guide most work activities and decision-making. The incumbent exercises independent judgment in prioritizing daily workflow, resolving routine operational issues, and providing guidance to staff within established parameters. Work is performed under the general direction of the Division Director, with the position assuming responsibility for coordinating division operations and completing necessary tasks in the Director’s absence.
Responsibilities- Assists the Division Director in developing and implementing administrative and office management policies, procedures, and operational strategies for the Clerk’s Office. Reviews operational data and workflow metrics, to monitor work unit effectiveness and recommends or assists with implementing process improvements as needed.
- Recommend operational controls, efficiency measures, and workflow improvements to enhance service delivery and departmental effectiveness. Assists in the development and implementation of new or revised procedures and programs.
- Provides work direction, training, guidance, and support to staff to ensure accurate processing and filing of required documents and records. Responds to technical questions and operational concerns and assists employees in understanding and applying policies, procedures, and workflow expectations.
- Assists the Division Director in monitoring employee performance and workplace conduct, including identifying operational concerns, documenting issues, participating in hiring processes, and providing input regarding corrective action, discipline, or performance management, as appropriate.
- Monitors inventory of office supplies and materials; informs the Director of items requiring replenishment and coordinates supply requests in accordance with established procedures.
- Reviews and balances daily financial transactions, receipts, and payment records to ensure accuracy and completeness. Performs end-of-day cash balancing and prepares daily deposits in accordance with established policies and procedures. Identifies discrepancies, researches variances, and informs the Director of inaccuracies while assisting in issue resolution.
- Greets visitors and responds to telephone, email, and in-person inquiries. Provides detailed information regarding office functions, court-related procedures, and departmental operations; evaluates concerns and determines appropriate resolutions, referrals, or escalation as necessary.
- Receives and processes court-related documents and payments, including appearances, motions, proposed orders, summonses, judgments, subpoenas, dispositions, stipulations, pleadings, child support payments, and related filings submitted in person, by mail, or through approved methods. Reviews documents for completeness and accuracy; certifies and time/date stamps filings; records and posts receipt of documents in case management systems; creates and maintains files; and routes materials to appropriate personnel.
