Basic Function and Responsibility
This position involves responsible and varied administrative assistant work in a Missouri State Court office, serving as an administrative assistant to a commissioner, unit manager, or director, and may include secondary court clerical duties and some courtroom work.
Characteristic and Assigned Duties- Serve as administrative assistant to the director of court information technology.
- Interview, screen, and refer callers and visitors; answer inquiries personally.
- Maintain appointment schedules, director’s calendar, and files of correspondence.
- Maintain Microsoft Excel budget workbook for annual IT budget and 5‑year projections, track purchases and deficits/surpluses.
- Initiate requisitions for budgeted IT purchases during the year.
- Create, modify, and remove security access using badging software.
- Prepare status reports, routine financial reports, filing systems, and supply management.
- Relay complex instructions and messages, and maintain records for personnel, purchasing, travel expenses, contracts, and equipment.
- Perform related work as required.
- Extensive knowledge of administrative assistant practices.
- Strong business English, spelling, punctuation, and arithmetic skills.
- Proficient in Microsoft Suite, especially Excel and Word.
- Understanding of organizational operations, functions, and authority scopes.
- Ability to understand and follow oral and written instructions.
- Ability to make moderately complex decisions per laws, regulations, policies.
- Ability to maintain administrative, fiscal, and general records; prepare reports; answer record inquiries.
- Ability to compose correspondence and manage office details.
- Ability to establish and maintain effective working relationships.
- Skill in operating standard office equipment.
- High school diploma or GED.
- Three years of administrative assistant or general clerical experience.
- Equivalent combination of relevant education and experience may be substituted year for year.
Selected candidates will undergo background screenings, including education verification, child abuse and neglect clearances, drug screening, and physical assessments as applicable.
