JOB TITLE: School Secretary (Principal/Treasurer)
FLSA CLASSIFICATION: Non-exempt, hourly employee.
WORK DAYS
: 200 days (including paid holidays).
STANDARD HOURS PER DAY: The standard hours for the School Secretary are 8 hours per day depending on the assignment.
WORK YEAR: The School Secretary (Principal/Treasurer) is generally employed for 200 days (including paid holidays).
SALARY SCHEDULE & BENEFITS: The School Secretary (Principal/Treasurer) is paid on the "Secretaries" Salary Schedule, Level 3, and is eligible for benefits on the "Support Staff" benefits schedule if hired for at least 90 consecutive days. Starting hourly rate is $19.31.
REPORTS TO: The School Secretary reports to the Principal or other designated building administrator.
SUPERVISES: The School Secretary (Principal/Treasurer) does not supervise any other employee(s).
GENERAL SUMMARY OF DUTIES:Under direct supervision, the School Secretary (Principal/Treasurer) performs school-based duties associated with updating and maintaining site-based financial accounts, records and inventory/dissemination of textbooks/curriculum. The School Treasurer plays an integral role in supporting the attendance needs, ordering school supplies and other school-related items for staff and students. Employees in this classification function at a routine clerical/accounting level capacity and produce various reports for audit and administration, as well as providing general office support.
Performs related work as directed.
- Provides a high level of support to administrators they support.
- Answers the telephone; provides information and assistance; takes/relays messages to appropriate personnel.
- Performs customer service duties; greets visitors and students; and provides information and other forms of assistance.
- Supports the building leaders and team with attendance needs of students and staff.
- Collects and verifies monies received from staff, faculty, and students; collects and verifies monies received from parents and outside agencies; prepares daily deposits; posts deposits and returns official receipts to depositors.
- Collects requests for purchase orders; verifies availability before submitting request for administrative approval; enters purchase orders for both budget and internal account funds via on-line system.
- Matches invoices to purchase orders and approves payment to vendor upon confirmation of receipt of order; checks in and distributes merchandise and supplies received from vendors and the warehouse.
- Balances accounts against monthly bank statements and prepares numerous monthly financial reports for the building Principal.
- Plans for and ensures the distribution and organization of textbooks/curriculum for teachers and classrooms.
- Collects all documentation in the form of textbook rental receipts, monies collected, and accounts payable; prepares end of the year report and closes books; submits report to the building Principal.
- Instructs teachers in the required paperwork for fundraisers and prepares reports upon completion; coordinates and handles ticket sales for special events and athletics departments.
- Works closely with vendors to develop and obtain desired products.
- Maintains financial records and prepares financial reports for the Business Office regarding textbook rental fees, purchase of school supplies and other school-related items, sales, and expenses.
- Maintains accurate records on textbooks/curriculum, including inventory of materials that have not been assigned to students.
- Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, adding machine, or fax.
- Responsible for keeping up to date on current technology, as job appropriate, being used by Warren.
- Responsible for timely and accurate information they maintain as part of their job responsibilities.
