Position Summary:

We are seeking an organized, proactive, and service-minded Insurance Coordinator to provide administrative and operational support to our insurance sales and service teams.

This role is designed to help keep the agency moving efficiently by supporting day-to-day activities, coordinating processes, maintaining accurate information, and assisting both sales and operations leadership.

The ideal candidate is highly organized, comfortable managing multiple priorities, communicates well, and enjoys being the person who helps keep everything, and everyone, on track.

Key Responsibilities:
  • Provide administrative support to the insurance sales team and sales leadership.
  • Assist with lead distribution, tracking, and follow-up activities.
  • Support sales campaigns, referral programs, contests, and other department initiatives.
  • Maintain and update sales tracking reports and performance information.
  • Assist with preparation of sales materials, presentations, reports, and communications.
  • Help coordinate new customer onboarding and follow-up activities.
  • Support scheduling and coordination of sales meetings, training sessions, and team activities.
  • Assist with tracking production goals, activities, and department initiatives.
Operations Support
  • Provide administrative support to insurance operations and service leadership.
  • Assist with department reporting, data entry, documentation, and record maintenance.
  • Coordinate recurring reports and help ensure information is received and distributed on schedule.
  • Support quality assurance, retention, and customer service initiatives.
  • Assist with tracking department projects, deadlines, and action items.
  • Help maintain department procedures, reference materials, and internal resources.
  • Coordinate communications between sales, service, operations, and other internal departments.
  • Identify administrative or workflow issues and bring them to leadership’s attention.
General Administrative Support
  • Maintain organized electronic records and department files.
  • Prepare spreadsheets, reports, presentations, and other documents as needed.
  • Assist with meeting preparation, scheduling, agendas, and follow-up items.
  • Monitor shared department resources and help route requests to the appropriate team member.
  • Provide support for special projects and department initiatives.
  • Perform additional administrative duties as needed to support the overall success of the insurance department.
Qualifications:
  • High school diploma or equivalent required.
  • Previous administrative, insurance, financial services, customer service, or sales support experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Comfortable working with spreadsheets, reporting tools, email, and standard office software.
  • Ability to learn new systems and processes quickly.
  • Demonstrated ability to work independently while also supporting a collaborative team environment.
  • Professional and dependable with the ability to appropriately handle confidential information.
