Job Summary

The Simulation Events Coordinator is responsible for the physical setup, day‑of execution, and post‑event breakdown of all simulation events at the RHIC Simulation Center and partner sites. The role is the operational backbone of events, ensuring each session is fully configured and ready. The coordinator is the welcoming first point of contact and works closely with the Simulation Services Navigator, Simulation Technology Coordinator, and Clinical Simulation Specialist for seamless event execution.

Key Responsibilities
  • Configure simulation rooms for specific scenarios, including furniture arrangement, equipment placement, props, and environmental details per scenario staging guides.
  • Ensure all event supplies, manikins, task trainers, and participant materials are staged and ready prior to session start.
  • Coordinate with the Simulation Technology Coordinator on AV and technology setup requirements for each event.
  • Execute post‑event breakdown, coordinate room cleaning, and reset the space to ready state.
  • Develop and maintain staging checklists and setup standards for all recurring RHIC simulation program formats.
  • Serve as the primary on‑site logistics coordinator during active simulation events.
  • Respond to real‑time setup, supply, and environmental needs during sessions.
  • Provide day‑to‑day direction to the Simulation Assistant (PRN) on event day.
  • Communicate event readiness status and any issues to the Simulation Services Navigator prior to and during events.
  • Ensure participant materials, handouts, and evaluation tools are distributed and collected as directed.
  • Serve as day‑of point of contact for partner institution representatives regarding room logistics and setup.
  • Assist with participant check‑in and orientation to the simulation space at the start of each event.
  • Provide tours of the Simulation Center to a variety of individuals and entities.
  • Perform other duties as assigned.
Qualifications
  • Bachelor’s Degree or Associate’s Degree with at least 1 year experience in a healthcare, simulation‑based education, or academic related field.
  • Health or human service related field of study.
  • 1–2 years of experience in event setup, staging, hospitality, healthcare, or a similar hands‑on operational environment.
  • Experience working in a healthcare, clinical, or education setting.
  • Familiarity with simulation equipment or audiovisual systems.
  • Experience supervising or providing direction to student workers or part‑time staff.
  • Valid driver’s license.
  • Professional certification preferred (e.g., Healthcare Provider Basic Life Support, Certified Health Simulation Operations Specialist).
  • Proven verbal and written communication skills, ability to work independently and collaboratively, attention to detail, excellent customer service, and proficiency with Microsoft Office and other computer applications.
