PED-INFECTIOUS DISEASES (IN-PINF-IUINA). The Department of Pediatrics employs nearly 1,000 faculty and staff who work alongside employees of Riley Hospital for Children and students of Indiana University (IU) School of Medicine (IUSM) to make Riley Children's Health Indiana's largest and most skilled pediatric system. The Program Management Specialist will support the administration and successful execution of the Principal Investigator's research program, including multiple National Institute of Health (NIH) funded international studies.

Department Specific Responsibilities
  • Responsible for planning, coordinating, and monitoring program activities to ensure project goals, deliverables, and funding requirements are met.
  • Serves as a liaison among Indiana University, international collaborators, regulatory bodies, funding agencies, and other stakeholders to facilitate effective communication and program operations.
  • Coordinates regulatory and compliance activities.
  • Develops and maintains project timelines.
  • Tracks milestones and deliverables, managing program communications, organizing meetings and events, and supporting operational logistics.
  • Assists with budget monitoring, expenditure tracking, preparation of reports for leadership and funding agencies, development of program materials, and grant proposal preparation and reporting.
  • Contributes to the overall success of the research program through effective planning, coordination, reporting, and administrative oversight.
  • Plans, coordinates, and monitors program activities, timelines, milestones, meetings, and operational logistics to ensure successful execution of multiple research projects and program objectives.
  • Coordinates regulatory submissions and compliance activities, including IRB and sponsor requirements, and serve as liaison among institutional and international partners to ensure adherence to policies and deadlines.
  • Prepares program reports, research summaries, stakeholder communications, and progress reports for leadership and funding agencies; maintain program documentation and informational materials.
  • Supports grant administration activities, including identifying funding opportunities, coordinating proposal development, tracking submission requirements, assisting with budget preparation, and preparing grant-related reports.
General Responsibilities
  • Manages medium to large projects, from start to finish, ensuring on time completion within budget.
  • Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
  • Coordinates and facilitates efforts of project team(s) consisting of various staff and hourly employees.
  • Communicates ongoing changes in tasks, goals, or performance.
  • Collaborates to ensure that project objectives are achieved within established time frames.
  • Participates in client meetings, vendor/contract decisions, and development of project requirements and specifications.
  • May provide guidance and support to less experienced peers.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. $55,000.00 - $65,000.00 per year. Salary may be determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data.
