About the Role

JL Wesley is looking for a Project Coordinator to help keep our civil construction, excavation, site utility, and trucking projects organized and moving forward.

This position will support the Project Manager, Field Superintendent, foremen, vendors, subcontractors, trucking team, and office staff. The main goal of this role is to make sure project information, paperwork, schedules, material tickets, trucking logs, costs, and communication do not fall through the cracks.

This is a great position for someone who is highly organized, detail-oriented, and comfortable working between the field and office.

What You’ll Do
  • Set up and maintain project folders, plans, permits, schedules, contact lists, and job documents.
  • Help coordinate project schedules, two-week lookaheads, inspections, material deliveries, trucking needs, and subcontractors.
  • Collect and organize daily reports, labor hours, equipment hours, trucking hours, material tickets, receipts, subcontractor invoices, and job photos.
  • Help track job costs by scope of work, including erosion control, demolition, earthwork, storm sewer, sanitary sewer, water utilities, aggregates, hauling, restoration, and mobilization.
  • Coordinate with quarries, pipe suppliers, dump sites, trucking, utility companies, inspectors, subcontractors, general contractors, and internal team members.
  • Help track change order items, RFIs, submittals, plan revisions, field issues, and added work.
  • Make sure field crews have updated plans, quantities, schedules, material information, and job expectations.
  • Maintain project logs for change orders, RFIs, submittals, inspections, material deliveries, closeout documents, and punch list items.
  • Assist with project closeout, including final tickets, photos, as-builts, warranties, punch list items, and final documentation.
  • Help identify missing information before it causes delays or cost overruns.
What We’re Looking For
  • 2+ years of construction coordination, project administration, dispatch, estimating support, or similar experience preferred.
  • Civil sitework, excavation, underground utility, trucking, or commercial construction experience is strongly preferred.
  • Strong organizational skills and attention to detail.
  • Ability to communicate clearly with field crews, vendors, subcontractors, inspectors, general contractors, and office staff.
  • Comfortable using Excel, email, PDFs, shared folders, and basic project tracking tools.
  • Ability to read basic construction plans, scopes of work, schedules, and quantity sheets.
  • Willingness to learn civil construction, job costing, materials, trucking, and project documentation.
  • Must be dependable, proactive, and able to manage multiple priorities at once.
Helpful Experience

Experience with any of the following is a plus:

  • Storm, sanitary, or water utilities
  • Aggregate, quarry, or trucking coordination
  • Material ticket tracking
  • Daily reports
  • Change orders
  • RFIs and submittals
  • Job cost tracking
  • Bluebeam, Procore, Buildertrend, Job Tread, HCSS, Excel, or similar systems
What Makes Someone Successful in This Role

The right person will be organized, responsive, and good at following up. They will not wait for problems to become emergencies. They will help the field stay ahead by making sure materials, trucking, inspections, paperwork, and project information are ready before they are needed.

This person should be comfortable asking questions, tracking details, and helping the company protect profit through better documentation and communication.

Compensation

Pay is based on experience.

Expected Range: $62,000–$75,000 per year

Higher compensation may be considered for candidates with strong civil construction, underground utility, trucking, estimating, or project cost tracking experience.
