We are seeking a highly organized, detail-oriented professional to join our team as a Public Involvement Specialist, supporting the execution of outreach initiatives through high-quality design, coordination, and project support. This role is ideal for someone who excels at managing multiple priorities, producing polished and consistent visual materials, and ensuring seamless execution of events and deliverables. The ideal candidate brings a strong foundation in graphic design paired with excellent task management and follow-through, enabling them to effectively coordinate logistics, maintain quality control, and support public outreach for a variety of transportation and environmental projects.

Responsibilities
  • Design & Visual Communications: Develop and format public-facing materials including presentations, handouts, fact sheets, and other communication pieces. Create simple graphics and layouts that are clean, professional, and visually consistent. Ensure quality control across all materials, maintaining strong attention to detail, formatting accuracy, and brand alignment. Collaborate with marketing team members and external partners to enhance visual outputs.
  • Organization & Task Management: Manage multiple tasks, deadlines, and deliverables across projects with a high degree of organization and follow-through. Maintain organized records of outreach materials, engagement activities, and project documentation. Track action items and ensure timely completion of assigned responsibilities.
  • Project & Team Support: Develop working knowledge of assigned projects to support Project Managers and client teams. Assist with preparation of project-related materials and internal/external communications. Collaborate effectively with cross-functional teams, including marketing and technical staff.
  • Event Coordination & Execution: Coordinate and manage logistics for public involvement events, including scheduling, vendors, materials, and on-site execution. Ensure events run smoothly by proactively managing details, timelines, and deliverables before, during, and after events. Support high-visibility events (e.g., open houses, stakeholder sessions, ribbon-cuttings) by ensuring all materials and logistics are organized and executed effectively. Coordinate and manage live streaming of meetings and events, ensuring proper setup, functionality, and a seamless experience for remote participants.
Qualifications

for this role
  • Bachelor’s degree in Communications, Journalism, Media Design, Marketing, Public Relations, or a related field.
  • 5+ years of experience in communications, marketing, public involvement support, or a related role, with demonstrated responsibility for coordinating projects and delivering high-quality outputs.
  • Highly detail-oriented with strong organizational and task management skills; able to manage multiple priorities and deliverables with accuracy and consistency.
  • Proven experience coordinating events, projects, or initiatives with multiple moving parts and tight deadlines.
  • Demonstrated ability to create polished visual materials with a strong eye for layout, formatting, and design consistency.
  • Proficiency in Microsoft Office (especially PowerPoint) with the ability to produce professional-quality presentations and documents.
  • Experience with graphic design tools, including Adobe Creative Suite (InDesign, Illustrator, Photoshop); experience with tools such as Canva or similar platforms is also beneficial.
  • Strong written communication skills with the ability to translate technical information into clear, user-friendly materials.
