Job Description
The University of Notre Dame's Institute for Educational Initiatives seeks applicants for an Assistant Director for Program Operations. This limited term, 12-month, full-time position is located on campus at the University of Notre Dame. The position has the opportunity to renew for up to five years. Since its inception, Tutor-ND has worked with schools and community organizations to build capacity for high-impact tutoring through cognitive science.
Today, the program supports high-impact tutoring across multiple local schools during the school day, provides on-demand assistance for community-based and after school tutors, trains school staff to lead summer programs and shares science-of-learning-aligned materials with families. Recently, the Indiana Department of Education (IDOE), in partnership with the University of Notre Dame and West Ed, has been awarded a significant grant to expand access to high-impact tutoring in Indiana.
This role will be central in providing administrative oversight of the day-to-day operations of the project and programming. Reporting to the Managing Director for Tutor-ND, the Assistant Director for Program Operations will attend to the health of the program's infrastructure by overseeing and executing operational responsibilities such as software management, hiring, scheduling, managing enrollment, and monitoring program progress. In addition, the Assistant Director for Program Operations will support collaborations among the Center for Educational Research and Action (Era), Tutor-ND, the Indiana Department of Education, and partner K-12 schools and universities statewide through partner communication, ongoing grant writing responsibilities, and other duties assigned by the Managing Director for Tutor-ND.
Manage the Day-to-day Operations of the Program:
The Assistant Director for Program Operations will manage the daily operations of Tutor-ND, fielding internal and external communication requests associated with tutoring, training, and/or access to evidence-based resources; the administrative tasks associated with the recruitment and hiring of volunteer tutors; and any scheduling needs. The Assistant Director for Program Operations will also develop processes (e.g., spreadsheet maintenance, meeting timelines, and agendas) and maintain digital tools (e.g., Airtable) necessary to support the health of the program's infrastructure.
Acquire Talent and Coordinate Community Partner Relations:
The Assistant Director for Program Operations will be the primary marketer of the program and will function as the primary liaison with university communications to order to build intentional partnerships across the state of Indiana to surface and assess need for tutoring, training, and provide access to cognitive science-based materials. The Assistant Director of Program Operations will also manage all aspects of volunteer tutor talent recruitment, hiring, and onboarding.
After assessing needs and acquiring talent, the Assistant Director of Program Operations will assume responsibility for all processes necessary to connect needs and talent, including the preparation and dissemination of registration surveys, tutor/child pairings, and any calendaring and necessary communication with community partners.
Project Management:
The Assistant Director will support the Tutor-ND Managing Director in any tasks associated with the management of the program's grants, including any meeting agenda creation or management, budget creation or management, data collection and analysis, grant writing, and/or reporting.
The Assistant Director will support other duties as assigned by the Managing Director of Tutor-ND and the Steering Committee.
