Job Description

The University of Notre Dame Graduate School has a crucial role in supporting graduate programs and helping ensure that Notre Dame graduate students become a force for good in the world. With many nationally and internationally recognized graduate programs, the Graduate School attracts top scholars from all over the globe. We are looking for someone who is driven, process-minded, and a collaborative partner to achieve the mission and vision of Our Lady's University in advancing graduate studies.

Reporting to the Director of Operations and Administration, the Associate Director of Finance will manage graduate student financial support—including the development of annual spending plans for stipends, modeling new initiatives, and reporting—on behalf of the Graduate School and Colleges and serve as a point of contact and resource for all aspects of student financial support. The Associate Director of Finance will serve as the point of contact to the University finance departments and facilitate budgeting, finance, and accounting for the Graduate School.

This includes overseeing day-to-day financial operations of the Graduate School, and working with the Director of Operations and Administration on budget and spending reviews and financial planning. The Associate Director of Finance will supervise the Financial Analyst.

Student Financial Support
  • Partners with the Dean of the Graduate School, the Financial Analyst, and the Associate Deans in the Colleges to develop financial models for graduate student support that achieve the goals of the colleges, while maintaining the restrictions and expectations of donors and the Provost
  • Facilitates the execution of the financial plans and serves as a point of contact for the various departments regarding the models
  • Provides financial reporting to various partners across the University
  • With the Financial Analyst, serves as a liaison to the graduate programs aiding the implementation of other aspects of student support - student job initiation, establishing students in the University's finance system, student health care, etc.
  • Develops the annual operating budgets for the restricted accounts that support stipends
  • Tracks the stipend budgets and related restricted accounts throughout the academic year
  • Reviews and models the tuition revenue sharing data.
Graduate School Finances
  • Manages the day-to-day financial operations of the Graduate School
  • Helps develop and execute long-range financial planning in support of department priorities
  • Leads the annual budget planning process; prepares the annual Budget Working Group presentation
  • Monitors the budget-to-actual performance of all Graduate School budgets
  • Designs and maintains financial dashboards and executive summary reports for leadership decision-making
  • Oversees the management of all restricted and unrestricted funds within the Graduate School, ensuring fiscal responsibility and strategic alignment
Other Duties
  • Supervises the Financial Analyst
  • Reviews and processes prospective contracts
  • Participates in and supplies analysis to the annual determination of the fringe rate for graduate students
  • Sits on advisory committee to review contracts for student health insurance
  • Provides new-hire and semi-annual stipend processing training and updates for College department staff, supports Financial Analyst during times of peak activity.
