Role Overview

The Administrative Assistant Travel Coordinator serves as the agency’s lead and subject matter expert for agency-wide travel operations. The role is responsible for administering and coordinating travel-related services for Department employees in accordance with state travel guidelines and agency policy. The position provides guidance to agency staff on travel planning, reimbursements, and policy compliance. The role manages complex, high-volume travel activity and serves as the central point of contact for travel-related questions, issue resolution, and policy interpretation.

This individual communicates regularly with third-party sponsors of training events and with IDOA Travel Services. Responsibilities include researching and analyzing travel activity, maintaining accurate records, and developing guidance and training materials to support consistent application of travel policies. Work is performed with a high degree of independence, requiring sound judgment in applying rules and guidelines to varied, often time-sensitive situations.

The position is also responsible for administering the CSBS State Examiner Certification System. Primary duties include logging qualified training courses and hours into the system; ensuring examiners meet their annual and three-year requirements to maintain their certifications. The position reconciles CEH totals between the CSBS system and UnCL and provides summary reports to supervisors to aid in examiner certification tracking.

The position will assist with a variety of other administrative tasks within the organization.

  • Analytical and Organizational Skills – Ability to review travel data, identify trends or issues, and maintain accurate documentation to support program oversight. Responsibilities emphasize program administration, coordination, and compliance, sometimes with urgency.
  • Professional Communication – Ability to explain requirements, provide guidance, and coordinate effectively with agency staff, leadership, and external partners.
Salary Statement

The salary for this position traditionally starts at $34,216.00 but may be commensurate with education or work experience.

  • Works as a professional staff assistant within a state agency or organization performing multiple administrative tasks.
  • Researches and prepares various reports on agency programs and/or procedures.
  • Prepares and maintains procedural manual for agency functions.
  • Reviews policies, plans and procedures for administrative soundness.
  • Coordinates the work of various sections of the agency or department.
  • Answers inquiries from the public concerning policy and procedures in assigned area.
  • Makes recommendations to administrator about procedures and methods to improve efficiency and effectiveness.
  • Monitors and documents activity occurring in their respective department to ensure compliance with applicable federal, state, and local rules and regulations.
