The Vaccine Coordinator provides organizational leadership for all vaccine management activities across the health system, ensuring safe, effective, and compliant vaccine practices. This position oversees the Vaccines for Children (VFC) Program, supports vaccine inventory management, develops standardized workflows, and partners with clinical leadership to improve immunization rates and regulatory compliance.

The Vaccine Coordinator serves as the subject matter expert for immunization practices, providing education, coaching, and ongoing support to clinic vaccine champions and clinical staff while ensuring adherence to CDC, ACIP, state immunization program, VFC, and organizational standards.

Essential Duties and Responsibilities

Vaccine Program Leadership
  • Coordinate and oversee the organization's vaccine program across all clinic locations.
  • Serve as the primary organizational contact for the Vaccines for Children (VFC) Program.
  • Ensure compliance with CDC, ACIP, state immunization program, HRSA, and organizational vaccine requirements.
  • Develop, implement, and maintain standardized vaccine policies, procedures, and workflows.
  • Lead initiatives to improve immunization quality measures and patient vaccination rates.
  • Collaborate with Quality, Operations, Pharmacy, and Clinical Leadership to optimize vaccine delivery.
  • Build collaborative relationships with clinic leadership and vaccine team members.
  • Partner with clinic managers to identify workflow improvements that increase vaccine access and efficiency.
  • Conduct routine clinic visits to assess vaccine operations and provide coaching.
  • Assist clinics in resolving vaccine-related operational issues.
  • Support implementation of new vaccine recommendations, products, and organizational initiatives.
  • Promote best practices that improve patient safety and immunization compliance.
  • Develop and deliver education for providers, nurses, medical assistants, and vaccine coordinators.
  • Train new clinical staff on vaccine administration, documentation, storage, handling, and VFC requirements.
  • Provide ongoing competency assessments and refresher education.
  • Partner with clinical education team to create educational tools, tip sheets, workflows, and reference materials.
  • Ensure clinic vaccine champions remain current on CDC and ACIP recommendations.
  • Monitor vaccine-related quality metrics and identify opportunities for improvement.
  • Analyze immunization data and develop action plans with clinic leadership.
  • Participate in Quality Improvement initiatives focused on increasing childhood, adolescent, and adult vaccination rates.
  • Monitor compliance with vaccine storage and temperature monitoring requirements.
  • Review documentation accuracy and immunization registry reporting.
  • Assist with internal audits and regulatory readiness activities.
  • Monitor vaccine inventory practices across all locations.
  • Ensure appropriate inventory controls to reduce waste and expired vaccines.
  • Review vaccine ordering patterns and utilization.
  • Monitor temperature logs and cold chain compliance.
